Department Coordinator – Part‑Time, Days
Pay range: $24.48 – $35.51 per hour. Reports to Department Manager/Director. Department:
Varies.
Provides patient and family‑focused administrative support to department teams, leadership, and caregivers under the supervision of the Director and/or Nurse Managers in accordance with St. Charles Health System mission and policies. Supports clerical and scheduling functions, liaises with other departments, and assists with staff scheduling, timecards, purchasing, and meetings.
Essential Functions and Duties- Coordinate administrative office functions and respond promptly to requests and inquiries.
- Manage staff schedules and forecast staffing needs, including ETO requests.
- Assist caregivers and leadership with Kronos/timecard issues; serve as the time‑card liaison to the central timekeeper.
- Use the purchasing system to order office supplies, forms, and equipment to meet department needs and demonstrate fiscal responsibility.
- Maintain relationships with floor vendors and sales representatives.
- Coordinate staff, leadership, UPC, and other meetings throughout the year, reserve conference rooms, and take minutes.
- Provide technical and audio‑visual support (Outlook, Excel, Word, Publisher, Visio, PowerPoint) to caregivers.
- Develop and/or help maintain visual management for operations, departmental metrics, regulatory requirements, and projects as requested by leadership.
- Support the hiring process, including scheduling orientations and education.
- Assist with quality and regulatory accreditation activities.
- Promote Value Improvement Practice (VIP‑Lean) principles and act as a champion of change.
- Maintain a safe environment for caregivers, patients, and guests; conduct all activities with professionalism and confidentiality.
- Comply with all applicable laws, regulations, and policies; report violations and cooperate with investigations.
- Deliver customer service and/or patient care that promotes goodwill, timeliness, efficiency, and accuracy.
- Perform additional duties of similar complexity within the organization as required or assigned.
Must be able to wear appropriate PPE required for safe job performance.
Education- High school diploma or GED required.
- Additional training in secretarial skills, college, or business school preferred.

- Required:
2 years of customer service and/or clerical experience. - Preferred: 5 years in a related field or Administrative/Executive Assistant level role, proficiency at handling multiple tasks, and prior hospital experience/medical terminology.
Must have excellent communication skills and the ability to interact professionally with a diverse population. Should be able to work under pressure in a fast‑paced environment, multi‑task, work independently, attention to detail, strong organizational skills, and advanced proficiency in Microsoft applications (Word, Excel, Outlook, Access) and database management.
