Role

Summary

This role owns the end‑to‑end contracting process and commercial administration, from opportunity through contract execution, ERP entry, invoicing alignment, and closeout.

The Contracts Specialist ensures all agreements are properly structured, documented, and executable, with a strong focus on cash flow protection, contract clarity, and operational alignment. This role also supports the sales team with proposals and quoting.

This role works closely with program managers, accounting, and leadership to ensure contracts accurately reflect scope, schedule, and delivery expectations. While not the primary negotiator or technical lead, this role is responsible for ensuring contracts are complete, compliant, and well‑managed throughout their lifecycle.

Skills and Responsibilities
  • Own contract lifecycle from CRM opportunity through execution, delivery tracking, and closeout
  • Draft and manage contracts using appropriate vehicles (POs, MSAs, Letter Agreements, SOWs, NDAs) and company templates
  • Maintain and continuously improve standard terms & conditions and contract templates
  • Ensure contracts include appropriate commercial structure (deposits, milestone payments, payment terms) to protect cash flow
  • Support quoting and proposal development to ensure alignment between scope, pricing, and contract terms
  • Input POs and contracts into ERP system; create and maintain accurate sales orders
  • Maintain organized contract records in file systems with strong version control and traceability
  • Track contract status, key milestones, and deliverables across active programs
  • Partner with program managers to reconcile contract scope vs. execution and delivery status
  • Support contract amendments, change orders, and updates when scope, schedule, or deliverables change
  • Help program managers identify and formalize scope creep into updated contractual agreements
  • Coordinate with accounting on invoicing schedules, milestone billing, and payment tracking
  • Identify and elevate contractual risks, inconsistencies, or gaps
  • Ensure compliance with internal processes and AS9100 documentation discipline
Attributes for Success
  • 2–5+ years’ experience in contracts, commercial operations, program coordination, or similar role (manufacturing/aerospace preferred)
  • Working knowledge of contract structures (MSA, SOW, PO-based work, R&D vs production environments)
  • Strong organizational skills with ability to track multiple contracts and priorities simultaneously
  • High attention to detail and strong document control discipline
  • Experience with ERP and CRM systems (Odoo or similar a plus)
  • Clear and professional communicator across internal teams
  • Comfortable working alongside technical leads without owning technical scope decisions
  • Commercial awareness. Understands impact of terms, deposits, and scope control on cash flow
  • Proactive, reliable, and able to follow through on commitments
  • Team-oriented, with a collaborative and solution-focused mindset
  • Available for standard business hours (40 hrs/week) with flexibility for overtime or weekend work
