Cancer Center Scheduling Specialist
Full‑Time, Days. Pay range: $22.30 - $30.11
Department:
St. Charles Cancer Center.
Reports to:
Cancer Center Operations Manager.
The Cancer Center Scheduling Specialist rles Health System schedules appointments for medical oncology, radiation oncology, infusion procedures, office visits, referrals, and diagnostic exams. Additional duties include patient registration, information retrieval, insurance authorizations, charge capture, and other related tasks. The role requires excellent customer service relations with patients, hospital staff, office staff, and physicians.
Essential Functions and Duties- Schedules inpatient/outpatient procedures and appointments as ordered by the physician or authorized designee.
- Schedules multiple appointment types including new patient visits, infusion/chemotherapy services, radiation therapy services, medical oncology services, physician referrals, imaging studies, blood transfusions, and other procedures.
- Coordinates patient care with outside facilities.
- Demonstrates excellent customer service skills and handles a high volume of calls.
- Understands medical terminology and procedures.
- Communicates pertinent information related to procedures.
- Accurately processes written orders and enters appointments into the scheduling system.
- Prioritizes work to ensure all details are addressed and documentation is entered into the system.
- Accurately registers patients; pre‑registers in the registration system, collects demographics and insurance information, and collects required co‑pay/deposits.
- Processes payments accurately and completes daily deposits.
- Performs real‑time eligibility (RTE) for insurance benefits and assists with prior authorization when needed.
- Retrieves and scans patient records and forms into appropriate EMR systems.
- Prepares physician reports and correspondence.
- Accurately enters charges and reviews them.
- May cover responsibilities at Bend and Redmond sites.
- Assists with special projects as needed.
- Supports the vision, mission, and values of the organization and Lean continuous improvement principles.
- Provides and maintains a safe environment for caregivers, patients, and guests.
- Performs all activities with the highest standards of professionalism and confidentiality.
- Complies with all applicable laws, regulations, policies, and procedures and reports any violations.
- May perform additional duties of similar complexity as required or assigned.
- Required:
High school diploma or GED. - Preferred:
Associate's degree or higher.

- Required:
Minimum one (1) year experience in customer service work, knowledge of medical terminology and procedures. - Preferred:
One (1) year working in a physician’s office, medical clinic, or hospital setting; experience in scheduling and registration; oncology/medical office practice experience.
- Must be able to wear appropriate PPE required to perform the job safely.
- Excellent communication skills and ability to interact with a diverse population.
- Multi‑task and work independently in a high‑pace office environment.
- Effectively interact and communicate with all levels within St. Charles Health System and external customers/clients.
- Attention to detail.
- Proficient in computer applications, electronic medical record keeping systems, and MS Office.
- Demonstrates proper phone etiquette, active listening skills, and prioritizes workload.
- Continually (≥75%):
Use clear, audible speaking voice and hear normal speech level. - Frequently (≈50%):
Sitting, standing, walking, lifting 1–10 lbs, keyboard operation. - Occasionally (≈25%):
Bending, climbing stairs, reaching overhead, carrying/pushing/pulling 1–10 lbs, grasping/squeezing. - Rarely (≈10%):
Stooping/kneeling/crouching, lifting, carrying, pushing, pulling 11–25 lbs, operating a motor vehicle. - Never (0%):
Climbing ladder/step‑stool, lifting/carrying/pushing/pulling 25–50 lbs, hearing whispered speech level.
- Weekly hours: 40.
- Shift: First Shift, Monday‑Friday, 8:00 – 17:00.
- Regular shift; not exempt.
