We're looking for an organized, detail-oriented Front Office Manager to be the backbone of our physical therapy practice. In this role, you'll be the first point of contact for our patients and the glue that keeps our clinic running smoothly - from the moment someone walks in the door to the moment their insurance claim is processed. You'll juggle scheduling, patient interactions, and records management while helping our therapists stay focused on patient care by keeping their calendars full and their administrative needs handled.
WhatYou'll Do:
- Check in patients, manage paperwork, and keep appointments running on time
- Verify insurance benefits, pre-authorize therapy visits, and troubleshoot basic insurance needs
- Schedule and confirm appointments (including a friendly reminder call the night before)
- Collect co-pays and payments, and keep accurate records in WebPT
- Build and maintain patient charts, scan documents, and respond to medical records requests within 24 hours
- Track outstanding evaluations/progress notes from referring physicians and follow up as needed
- Manage the patient waitlist to minimize schedule gaps for our therapists
- Help with light office upkeep and supply ordering
- Attend staff meetings and contribute to a collaborative team environment
A self-starter with strong organizational skills, comfort with medical office software (WebPT experience a plus), and the ability to multitask in a fast-paced environment. Prior experience in a medical or physical therapy office is preferred.
