.
The primary responsibility is to provide a warm and welcoming experience for all resort guests, club members and their guests. The coordinator acts as an ambassador, providing outstanding service and detailed information about local attractions, resort amenities, and features.
Job DetailsStatus: Part Time (16 to 24 hours a week)
Required
Shifts:
Sunday & Monday, 11:30am to 8pm (with opportunity for a third shift based on availability)
Guest Interaction and Service
- Demonstrate a guest‑driven style of service with an upbeat, friendly sense of urgency in all interactions.
- Greet and welcome all guests with an enthusiastic and professional demeanor.
- Maintain the privacy of all guests.
- Accommodate all information requests in a congenial manner.
- Handle guest concerns or issues immediately, ensuring satisfaction.
- Notify designated department/personnel to resolve situations and follow up within 30 minutes.
- Communicate pertinent guest information to designated departments/personnel.
Knowledge and Compliance
- Maintain complete knowledge of resort and club features/services, hours of operation, room types, décor, rates, packages, promotions, availability.
- Know daily house count, arrivals/departures, group activities/functions.
- Comply with all property and departmental policies and grooming/uniform standards.
Front Desk Operations
- Perform all front desk tasks, including check‑ins, check‑outs, night audits, and related responsibilities.
- Document and confirm reservations and cancellations.
- Assist with inquiries regarding charges incurred.
- Accommodate room changes and handle late check‑out requests.
- Resolve room status discrepancies with housekeeping.
- Prepare key packets and group resume folders for arriving groups.
- Generate, distribute, and post daily reports.
- Maintain guest history files with relevant information from guest interactions.
System and Equipment Management
- Operate all aspects of Springer Miller Systems and perform CPU functions per procedures.
- Set up workstations with necessary supplies and maintain cleanliness.
- Answer department telephones within three rings using correct greeting and etiquette.
Teamwork and Flexibility
- Be flexible and welcoming to change within a growing company.
- Take on new tasks as assigned by the Front Office Manager or Supervisor.
- Manage workflow effectively, organized and on time.
- Incorporate safe work practices.
- Maintain a positive attitude and flexibility for varied hours, including evenings, weekends, and holidays.
- Ability to perform each duty satisfactorily; reasonable accommodations may be made for individuals with disabilities.
- Must pass a drug test.
- Valid Oregon driver’s license with no recent alcohol‑related offenses or criminal record.
- College/university education or two years of related work experience in Guest Services.
- High school diploma or higher.
- Ability to read and comprehend complex instructions, memos, emails.
- Write complex correspondence with staff and guests.
- Effective verbal communication with guests and staff.
- Proficient in holding and comprehending phone conversations.
- Calculate figures such as accruals, percentages, payments.
- Competent in basic cash‑handling functions.
- Apply common sense understanding to carry out instructions in written, oral, or diagram form.
- Multi‑task effectively to provide solutions and handle variables.
- Proficient in Google Suite, Word, Excel, Outlook.
- Basic accounting skills.
- Fully comprehend complex equipment instructions.
