Juniper Preserve, located in Bend, OR, is pleased to announce an excellent career opportunity for a Reservations Supervisor. We are seeking a driven individual who is eager to learn, contribute, and grow within a fast‑paced hospitality‑focused property organization. As part of Troon, you will contribute to a global leader in golf and community management. The Reservations Supervisor oversees daily reservation operations to ensure booking accuracy, rate integrity, and exceptional guest service standards.

This role audits reservations across all booking channels, monitors reservation systems, trains Rez Force agents, and drives ancillary revenue through upsell management. The Reservations Supervisor works closely with Revenue Management, Guest Services, and other operational departments to ensure a seamless guest experience from booking through departure.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Audit incoming reservations across all channels including groups, OTAs, vacation rentals, and lodge reservations to ensure accuracy of rates, deposits, cleaning fees, and package components.
  • Audit daily arrivals to confirm correct reservation setup, accurate nightly rates, and proper assignment of upgrades.
  • Audit departure folios to ensure all charges and package components are posted correctly, routing is accurate, and duplicate postings are avoided.
  • Monitor cancellations, no‑shows, and availability to ensure accurate inventory and proper billing.
  • Balance the house and review inventory to prevent oversells.
  • Identify discrepancies and communicate with the Revenue Manager regarding rate syncing issues, configuration errors, or posting failures.
  • Submit support tickets to SMS when necessary.
  • Ensure reservation phone lines and email inquiries are managed promptly during operating hours.
  • Respond to guest and internal reservation requests, including modifications and room moves.
  • Set operational traces and coordinate guest requests such as restaurant reservations, golf tee times, spa appointments, and recreation activities.
  • Contact guests booking golf packages to assist with tee time reservations and finalize itineraries.
  • Operate reservation and other systems including Springer Miller Systems (SMS), Rez Force, Revinate, Alice, and EZLinks.
  • Maintain accurate property, package, and reservation information within Rez Force.
  • Review call center performance.
  • Monitor Rez Force agents for booking accuracy, attention to detail, and adherence to service standards.
  • Provide ongoing training and coaching to improve product knowledge and reservation accuracy.
  • Serve as an escalation point for complex reservations.
  • Manage and adjust upsell opportunities through Revinate to drive incremental revenue.
QUALIFICATIONS
  • Must have at least 1 year experience with FD or Reservations.
  • Knowledge of Springer Miller Software.
SKILLS

Essential:

  • Hospitality experience, vacation rental or property management experience is a must.
  • Hospitality degree preferred or equivalent luxury hotel/resort experience.
  • 1+ years of experience in Rooms Division, preferably within a luxury hotel or resort environment.
  • Ability to clearly and pleasantly communicate in English, both orally and in writing, using correct spelling and grammar, with guests, co‑workers and management to their understanding, both in person and by telephone.
  • Ability to provide legible written communication, compute basic mathematical calculations, and utilize computer data.
  • Ability to understand guest concerns and problems and find solutions, using good judgment and maintain discretion and diplomacy while performing job duties thus promoting positive relations with guests, members and staff, while remaining calm, courteous and helpful.
  • Ability to think clearly and quickly, effectively prioritize, organize and follow up within the appropriate time frame.
  • Ability to maintain confidentiality of all member information.
  • Ability to work cohesively with other departments.
  • Ability to interact positively with members in person and on the phone in challenging conversations.
  • Ability to work a flexible schedule and attend events as requested.

Desirable:

  • Knowledge of Google Docs.
  • Preferred Experience with Rez Force and Revinate.
