Under the direction of the Finance Director, the Customer Service Clerk supports the daily operations of the Village Hall Finance Counter and manages incoming calls, ensuring the highest standards of customer service for all Village stakeholders.
JOB DUTIES- Proficiency in speaking, reading, and writing in Spanish is required.
- Deliver exceptional customer service to all Village stakeholders in every interaction.
- Finalize customer payments with cash, check, or a credit card.
- Respond to incoming phone calls by promptly addressing inquiries when possible, logging unresolved questions into the CRM system, and directing calls to the appropriate personnel as needed.
- Enter stakeholder requests into the Village’s Customer Relationship Manager (CRM) system.
- Provide information regarding fees, Village programs, schedules, facility information and related customer inquiries.
- Receive and process payments for various Village revenue related items.
- Sort and distribute mail daily.
- Process and issue Commercial Vehicle stickers.
- Assist other departments as needed.
- Daily reconcile cash drawers accurately and promptly.
- Ensure workplace safety by complying with all Village safety policies and procedures.
- Complete all mandatory assigned Village training programs.
- Perform additional duties and projects assigned.
SKILLS AND ABILITIES
- Experience in performing daily reconciliations.
- Excellent communication skills, both verbal and written.
- Ability to establish and maintain effective working relationships with other Finance department staff members, other departments, superiors and other Village stakeholders.
- Ability to follow oral and written instructions.
- Ability to effectively manage time and handle multiple tasks.
- Ensure punctual and regular attendance to fulfill job duties and meet team goals.
- Consistently adhere to the Village’s scheduled work hours and notify supervisor of anticipated absences in a timely manner.
- Ability to work under pressure.
Required:
- Proficiency in speaking, reading, and writing in Spanish.
- Must possess outstanding customer service skills.
- 1+ years of experience handling cash and operating computerized POS systems.
- Must be at least 18 years of age.
- High school diploma or equivalent required.
- Proficiency in Microsoft Office applications.
- Availability to work evenings and Saturdays as needed, including Tuesdays from 9:00 a.m. to 6:30 p.m. and Saturdays from 9:00 a.m. to 12:00 p.m.
Preferred:
- Associate degree in business or related field.
- 2-3 years experience working in an office environment.
- Experience with MUNIS software.
- Municipality experience.
- While performing the duties of this job, the employee is frequently required to sit, stand, walk, run, talk, and hear.
- The employee must occasionally lift and/or move more than 30 pounds.
- The employee must be able to reach with hands and arms, climb or balance, stoop, kneel, crouch and/or crawl.
- The employee is required to use hands to handle or operate objects, controls, or tools including peripheral computing equipment (ex. computer mouse / calculator).
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
- Work is performed primarily in a climate-controlled office setting. May involve extended periods of sitting, typing on a keyboard, and using a telephone among other office equipment including copier, fax, etc.
- Periodic exposure to stressful situations.
- May require small amounts of travel to and from meetings, training, and conferences.
- The noise level in the work environment is usually moderate to low.
- Some non-traditional working hours may be required including evening, holiday, and weekends.
