BESPOKE Wealth Solutions Executive Assistant to the Founder

In-Person | Full-Time | Path to Operational Leadership

Location: Northwest Arkansas (in-person required)

Type: Full-time, W-2

Base Compensation: $45,000 – $60,000

Performance Bonus: Up to 10–20% based on execution and operational impact

Reports To: Founder & Managing Partner

The Role

Bespoke Private Wealth is a growing advisory platform serving investors, families, and business owners. The founder also operates a consulting practice and a wine distribution company.

We are hiring an Executive Assistant who will serve as the operational anchor across all three businesses.

This role combines precision scheduling, operational systems management, event coordination, and disciplined marketing execution.

If you enjoy structure, organization, and bringing consistency to complex environments, this role will suit you.

Core Responsibilities Executive Scheduling & Time Protection (Primary Function)

You will own the founder’s calendar across multiple businesses and personal commitments.

  • Schedule and confirm client meetings, prospect calls, internal reviews, travel, and personal obligations
  • Prevent scheduling conflicts before they happen
  • Maintain structured scheduling protocols
  • Manage confirmations and reminders with discipline
  • Protect the founder’s time and focus

Precision in scheduling is non-negotiable.

Systems & Operational Infrastructure
  • Maintain CRM discipline (contact records, pipelines, follow-ups, documentation)
  • Build repeatable workflows for onboarding, quarterly reviews, events, and compliance deadlines
  • Track commitments across entities
  • Triage correspondence and flag priorities
  • Coordinate travel logistics end-to-end
  • Maintain organized file systems and task management tools

You are responsible for operational clarity.

Events & Client Experience
  • Plan and execute client appreciation events, wine dinners, and prospect gatherings
  • Coordinate vendors (venues, catering, AV, logistics)
  • Run day‑of event logistics
  • Represent the firm professionally in high‑net‑worth environments
Marketing Execution (Light but Important)

This is execution-focused, not strategy creation.

  • Maintain content publishing calendar
  • Schedule social media posts across platforms
  • Coordinate email campaigns
  • Create basic visual assets in Canva (event graphics, social posts, simple client communications)
  • Ensure blog posts and lead magnets are properly published and formatted
  • Track and report simple marketing metrics monthly
  • Coordinate with outside vendors when applicable

You do not need to be a designer or strategist — but you must be detail-oriented and consistent.

Performance Bonus Structure

Bonus is tied to:

  • Calendar accuracy and scheduling discipline
  • CRM cleanliness and follow‑up reliability
  • Event execution quality
  • Marketing consistency (content posted on time, campaigns executed cleanly)
  • Process improvements implemented

High ownership = higher bonus.

Growth Path

Year 1:

  • Master scheduling
  • Stabilize systems
  • Execute events and marketing consistently

Year 2+:

  • Own projects end-to-end
  • Improve systems proactively
  • Take on broader operational oversight

Growth depends on performance and ownership.

Who This Role Is For

You likely fit if you are:

  • Highly organized and systems-driven
  • Detail-oriented and structured
  • Calm under shifting priorities
  • Comfortable managing up
  • Tech‑comfortable with CRM and scheduling tools
  • Able to execute marketing tasks without constant supervision
  • Professional and discreet
  • In‑person and committed to being physically present
Strong Preferences
  • 2+ years in executive support, operations, or coordination
  • Experience managing complex calendars
  • Experience maintaining CRM systems
  • Basic Canva or light design experience
  • Experience supporting marketing execution
  • Background in financial, professional services, or regulated environments
Who This Role Is Not For
  • If you prefer purely creative work
  • If you need rigid job descriptions
  • If you prefer reactive instruction over proactive ownership
  • If you are seeking remote flexibility
What We Offer
  • $45,000 – $60,000 base compensation
  • Meaningful performance bonus opportunity
  • Direct exposure to leadership decisions
  • Growth path into operational leadership
  • Work across advisory, consulting, and wine industries

We value precision, professionalism, ownership, and quiet excellence.

How to Apply

Submit:

  • Resume
  • A short written response (no template cover letter):
Tell us about a time you managed a complex schedule or improved a broken system. What was the issue? What did you change? What happened afterward?
  • Candidates who demonstrate clarity and attention to detail will move forward.
