Overview

Coordinates and facilitates a system for the accurate accounting, reporting, controlling, and safeguarding the College’s Purchasing Card (P-Card) Program. Manages and facilitates the College travel program. Provides backup support for the purchasing function.

Key Responsibilities
  • Coordinates all Purchasing Card activities including answering inquiries, setting up new accounts, issuing new and replacement cards, account closures, issue resolution, and maintaining the credit card vendors’ online system.
  • Manages card spending limits, single transaction limits and MCC restrictions.
  • Responsible for training and development/modification of program materials and procedures for both the Purchasing Card and Travel and Business Expense Reimbursement Policies.
  • Reviews and verifies completeness of Travel and Business Reimbursement and Supply/Material Reimbursement reports and supporting documentation including descriptions, business purpose documentation, payment receipts, and supervisory approval for executed transactions.
  • Develops and maintains changes to the travel/expense reporting process.
  • Provides backup support to Purchasing Manager and assists with purchasing activities.
What You ll Bring

Education required to ensure success in this position:

  • Bachelor’s Degree in Accounting, Finance, or related field, required;
  • Continuing education via participation in the College Business Management Institute (CBMI) and other available resources desirable.

Experience required to ensure success in this position:

  • Three or more years related experience, with substantive knowledge and experience across a variety of accounting functions.
  • Customer service experience required.
  • Excellent interpersonal skills, diplomacy, ability to develop positive working relationships.
Special Skills, Knowledge And Abilities
  • Knowledge of general office procedures, excellent grammar skills, knowledge of computer systems operation including word processing, data entry, and database management.
  • Excellent oral and written communication skills, ability to establish priorities, ability to deal with pressure of deadlines, ability to handle unpleasant situations with diplomacy and tact and ability to do tasks without constant direct supervision.
  • Strong analytical skills.
  • Foster an environment of strong ethics and integrity.
  • Practical knowledge of business processes is highly desirable.

  • Sitting for long periods of time with computer use.
  • Performing routine and repetitive functions requiring manipulation of a keyboard.
