Receptionist / Administrative Support Specialist
Berkeley Heights, NJ (Onsite)
3+Month Contract

Seeking a professional and customer-focused Sr Receptionist & Switchboard candidate to support front desk and administrative operations in a corporate office environment. This role requires excellent communication, multitasking, and Microsoft Office skills, along with the ability to adapt to changing priorities and provide exceptional service to visitors and employees.

Responsibilities
  • Greet and assist visitors, employees, and temporary staff in a professional manner
  • Distribute visitor badges and issue employee facility access cards
  • Answer, screen, and transfer incoming calls from across the United States
  • Schedule meeting rooms and notify Executive Assistants of guest arrivals through Microsoft Teams
  • Maintain a clean and organized front desk area
  • Update company phone lists and speed dial directories in a timely manner
  • Issue and track company loaner cell phones
  • Assist mail services team with daily reports and office support tasks
  • Perform light administrative and basic PC support duties as needed
  • Support office projects including compiling manuals, creating labels, and assisting other departments
  • Participate in company and community service events
  • Build professional relationships with customers and internal teams
  • Understand and support other work areas as assigned
  • Perform additional duties as needed
Requirements
  • High school diploma or equivalent required
  • Minimum 2+ years of receptionist or switchboard experience
  • Strong Microsoft Office Suite skills, specifically Word, Excel, and Teams
  • Excellent customer service, communication, and organizational skills
  • Ability to handle multiple tasks simultaneously and adapt to changing situations
  • Detail-oriented with a professional and pleasant attitude
  • Ability to interpret and apply instructions and communicate effectively
  • Comfortable working in an office environment with regular standing, walking, bending, reaching, and lifting
  • Ability to lift up to 50 lbs.; assistance available for heavier lifting
  • Professional dress code required: black business suit, white blouse, and black shoes.
