The Operational Project Manager is responsible for planning, executing, and overseeing operational projects, including stakeholder management, to drive improvements in efficiency, service delivery, and business outcomes. This role focuses on day-to-day project execution, coordination of cross-functional teams, performance tracking, and ensuring projects are delivered on time, within scope, and within budget, while aligning with organizational operational objectives.

  • Strong organizational, planning, and multitasking skills
  • Proficiency with project management tools (MS Project, Jira, Smartsheet, or similar)
  • Strong proficiency in Microsoft Office 365, including Excel, PowerPoint, and Word
  • Excellent communication and stakeholder management abilities
  • Experience with process improvement and operational metrics
  • Ability to manage multiple initiatives in a fast-paced operational environment

Job Duties & Responsibilities
1. Project Planning & Execution
  • Define project scope, objectives, timelines, milestones, and deliverables in alignment with operational priorities.
  • Develop and maintain detailed project plans, schedules, and task assignments.
  • Ensure projects are executed according to approved plans, standards, and methodologies.
  • Monitor progress and proactively address risks, issues, and dependencies.
  • Ensure timely delivery of operational initiatives.
2. Operational Coordination & Process Improvement
  • Coordinate with operations, IT, finance, vendors, and business teams to execute projects effectively.
  • Identify process gaps and inefficiencies and support implementation of improvement initiatives.
  • Ensure operational readiness and smooth transition of deliverables into day-to-day operations.
  • Support standardization of processes and best practices across teams.
  • Track operational impacts and benefits realization.
3. Performance Tracking, Reporting & Governance
  • Track project performance using KPIs, dashboards, and status reports.
  • Monitor budgets, resource utilization, and timelines; escalate deviations as needed.
  • Prepare regular project status reports for leadership and stakeholders.
  • Maintain project documentation, risk logs, issue logs, and action items.
  • Ensure compliance with organizational governance and project controls.
4. Stakeholder & Team Management
  • Serve as the primary point of contact for project stakeholders.
  • Facilitate project meetings, operational reviews, and status discussions.
  • Communicate project progress, risks, and decisions clearly to technical and non-technical audiences.
  • Manage stakeholder expectations and resolve conflicts impacting delivery.
  • Foster collaboration and accountability across cross-functional teams.
5. Change Management & Project Closure
  • Support change management activities related to operational improvements and process changes.
  • Coordinate testing, rollout, and adoption activities to ensure successful implementation.
  • Manage change requests and assess their impact on scope, schedule, and resources.
  • Conduct post-implementation reviews and document lessons learned.
  • Ensure proper project closure and handoff to operations or support teams.
Required Qualifications
  • Bachelor’s degree in Business, Operations Management, Information Systems, or a related field.
  • Proven experience managing operational or delivery-focused projects.
  • Strong understanding of project management methodologies and tools.
  • Experience working with cross-functional and operational teams.
