Position: RN, Clinical Office Supervisor - Oncology / Hematology

Position Summary

The Office Supervisor, under the supervision of the Department Manager, is responsible for planning, organizing, and coordinating daily operations to ensure quality patient care and acts as the liaison between the Physician and staff.

Essential Duties and Responsibilities
  • Provides leadership and support in day‑to‑day operations within the clinical setting, collaborates with the Pod Liaison and Clinical Coordinator/Department Manager, and serves as a role model and consultant for staff.
  • Demonstrates decision‑making, problem‑solving, delegation, and ensures high quality and efficiency of staff while maintaining flexibility with various work schedules.
  • Communicates and ensures policies and procedures are properly communicated and adhered to, and verifies staff competence in emergency protocol and procedures.
  • Manages scheduling: completes and populates physician and staff monthly schedules, maintains the automated schedule, and manages staff PTO requests.
  • Identifies staffing needs in advance, monitors overtime use, manages weekly staff swipe reports, and assists with training, monitoring, and evaluation of staff.
  • Assists in the hiring and orientation of new office staff, evaluates clinical staff per SUMMIT policy, provides ongoing feedback, conducts an annual performance evaluation (including physician input) and implements action plans for quality improvement.
  • Monitors quality dashboards, departmental compliance with OSHA, HIPAA, and occurrence reporting, and reports compliance concerns while ensuring resource utilization for resolution.
  • Advances the department’s technology by ensuring use of information technology and electronic medical record systems and participates in implementation and appropriate use of EMR, practice management system, and ancillary systems.
  • Maintains liaison roles between Care Management and Care Coordination to support Meaningful Use, documents visits in the EHR, and participates in clinical quality improvement processes.
  • Supports the department by implementing customer service action plans, holding monthly pod staff meetings, communicating SUMMIT initiatives, and attending department manager meetings.
General Job Functions
  • Delivers direct patient care within scope of licensure and SUMMIT policy, including specimen collection, labeling, laboratory procedures, and emergency protocols.
  • Prioritizes patient care by implementing physician orders and nursing procedures, and documents care accurately in the Electronic Health Record.
  • Ensures proper patient identification, maintains efficient patient flow, administers injections and medications with safety precautions, and facilitates transition of care to UCC/Hospital.
  • Maintains equipment proficiency, troubleshoots and reports malfunctions, maintains emergency equipment logs, and assists in ordering and maintaining supplies.
  • Provides referrals and consult orders appropriately in the Practice Management System and EHR.
Physical

Job Requirements
  • Physical mobility, agility, dexterity of hands and fingers, endurance for continuous typing, prolonged standing/bending, and walking.
Travel
  • Travel to satellite locations for meetings.
Education and Experience
  • Associate’s Degree required;
    Bachelor’s Degree preferred.
  • 2–4 years related work experience required; 5–8 years preferred.
  • State of Oregon RN License required.
Certification and Technical Requirements
  • Basic Life Support (BLS) required;
    Advanced Cardiac Life Support (ACLS) preferred.
  • Valid driver’s license and auto insurance required.
  • Strong interpersonal, organizational, problem‑solving, critical‑thinking and priority‑setting skills.
  • Knowledge of current nursing practices and protocols.
  • Proficiency with standard office equipment and technology, including EHR and PMS.
Salary and Benefits

Pay Range: $81,100.00 - $ annually. Benefits include medical, dental, life, disability, vision, FSA coverage, and 401(k) savings plan.
