Department Overview

The Puente Project led the state since 1981 in equitable instruction, counseling, and mentoring for students marginalized by the educational system. Its mission is to increase college enrollment, degree attainment, and community leadership. The program is co‑sponsored by UC and the California Community College Chancellor’s Office and is housed within the Center for Educational Partnerships (CEP) at UC Berkeley.

Position Summary

Secondary Program Assistant provides first contact and clerical administrative support to the Secondary Program, cultivating a welcoming and supportive office environment.

Responsibilities
  • Event Management:
    Coordinate logistics for Secondary Program Puente Institutes, regional and statewide conferences, Student Leadership Conferences, Staff Meetings, and other professional development events. Secure venues, catering, audio‑visual equipment, and accommodations. Oversee vendor contracts. Manage event registrations and communications using Google Forms, Constant Contact, Whova, Zoom, and similar platforms.
  • Program Communications & Analytical Support:
    Draft, edit, and format written materials including correspondence, reports, agendas, and presentations. Manage the Secondary Program monthly newsletter and maintain listservs, Google Groups, school calendars, and participant databases. Set agendas and take notes for weekly program meetings. Prepare detailed meeting and workshop reports.
  • Financial Responsibilities:
    Prepare purchase orders, research vendors, and recommend prices. Compile travel, meeting, and entertainment reimbursements. Develop event budgets. Reconcile credit‑card purchases and onboard new contractors through Berkeley Supplier Registration.
  • Special Projects:
    Attend monthly Puente Admin Unit and quarterly Student Affairs divisional meetings. Attend classes, seminars, and conferences for professional development. Perform other duties as assigned.
Required Qualifications
  • Administrative proficiency with word processing, spreadsheets, databases, and Microsoft Office and Google Suite applications.
  • Strong organizational, problem‑solving, and time‑management skills.
  • Excellent written and verbal communication skills; ability to convey factual information clearly.
  • Ability to work independently and as part of a team; set priorities, adjust to change, and manage competing pressures.
  • High proficiency with Adobe Creative Suite (InDesign, Photoshop, Illustrator, Canva) and web design systems such as Wix.
  • Experience managing engagement on social media platforms (Twitter, Facebook, Instagram, You Tube). Ability to edit closed captions on You Tube content.
  • Availability for evening and weekend events outside 8:00‑5:00 am. Ability to travel within California.
  • High school diploma or equivalent experience/training.
Preferred Qualifications
  • Knowledge of campus‑specific processes and purchasing procedures.
  • Knowledge of academic environments and campus resources.
  • Event planning experience with events of at least 50 participants.
  • Virtual event planning experience.
  • Knowledge of the Puente program model and structure.
Salary & Benefits

Hourly range: $32.01 – $36.71. This is a non‑exempt, biweekly‑paid position. Compensation and benefits details are available on the UC “Compensation & Benefits” website.
