Intercollegiate Athletics supports a workforce of approximately 300 staff, coaches, contract, career exempt, and represented personnel. The department conducts 30 intercollegiate sports and provides full support to over 900 student‑athletes.
Position SummaryProvide executive‑level support for the Co‑Directors of Athletics, who report directly to the Chancellor. Responsibilities include maintaining the Co‑Athletic Director’s calendar, scheduling standing meetings with direct reports, donors, staff, campus partners, campus leadership, community groups, and other stakeholders; managing travel; processing expenses and reimbursements; coordinating All‑Staff, Head Coaches, and department leadership meetings; and serving as the main point of contact for the Co‑Athletic Director’s office.
Responsibilities- Direct the daily administrative operations for the Co‑Directors’ office.
- Serve as the primary contact for the Athletic Director’s suite.
- Develop and implement efficient systems for managing information, projects, and communications to ensure accurate and timely responses.
- Handle the details of complex and highly sensitive matters on behalf of the executives.
- Manage and coordinate a highly complex and dynamic travel schedule, including extensive travel related to football operations, ACC conference meetings, and national athletics director conferences.
- Prioritize meetings based on fundraising responsibilities, campus leadership duties, and day‑to‑day operations.
- Act as the gatekeeper, understanding executives’ requirements to prioritize issues by urgency.
- Respond to questions and issues from faculty, staff, students, and the public on behalf of the executive.
- Brief executives in a timely manner regarding priorities, deadlines, and pending issues.
- Provide briefings to Co‑Directors daily and sometimes multiple times per day with upcoming meetings, travel, and events.
- Gather necessary materials in advance of meetings to fully prepare the executive.
- Research, compile, and summarize complex and/or sensitive issues, policies, and topics; provide background information, talking points, and briefing materials.
- Organize ad‑hoc committees appointed by the executives on a broad range of issues.
- Prepare confidential reports and summaries for senior staff and other officials within the UC system.
- Prepare responses to urgent divisional requests on behalf of the executives; investigate complex, sensitive matters independently.
- Make high‑level contacts of a sensitive nature with internal and external individuals, requiring discretion and diplomacy.
- Research, analyze and synthesize information for executive briefings, reports, and summaries.
- Coordinate information from other departments, tracking progress to ensure sufficient time for executive review in advance of meetings.
- Plan monthly All‑Staff meetings, including developing the agenda, confirming speakers, and handling logistics.
- Demonstrated experience providing high‑level executive administrative support to senior leadership, preferably supporting multiple executives simultaneously in a complex, fast‑paced organization.
- Advanced knowledge of the organization’s processes, protocols, and procedures.
- Ability to use a high level of discretion and maintain confidentiality.
