Be Well at Work
- Disability Management provides services and information to staff and faculty of UCB related to workers' compensation injury claims and disability accommodation processes/procedures on campus
Performs administrative work in support to the Be Well at Work/Disability Management Services Unit and the Disability & Workers' Compensation Manager. General administrative functions of medium complexity, intake, process and record new workers' compensation injuries and accommodation requests, greets and assists employees in person and via telephone, responsible for collecting and scanning documentation into the Injury Illness Reporting System and Service Hub (Accommodation data).
Schedules meetings and sets up conference rooms in support of team or cross functional in person or zoom meetings.

Responsibilities- Under the direction of the DMS Manager, this position is responsible for the intake and submission of new workers' compensation claims. Reviews information submitting through the IIR system, via doctor first reports and applications for adjudication. Appropriately enters data necessary to the TPA processing of the claim and verifies information with the employee or supervisor as necessary. Applies consistent values when coding injuries with similar cause & nature to ensure reporting accuracy.
Receive and scan the forms applicable to each employee injury and upload the forms into IIR "notes" section with the standard naming definition. Responsible for sending the employee correspondence and associated forms in a timely manner to each employee based on their reported injury. - Partners with occupational health, urgent care, Kaiser on the Job and LBL to ensure the appropriate information in conveyed to allow each unit to follow their individual processing requirements. Escalates issues that are unusual or complex to the appropriate DM Analyst or DMS Manager for discussion, decision and associated documentation of decision, if applicable.
- Maintains DMS documents within the google drive and all other applicable platforms related to DMS operations, processes and procedures. Update when changes occur and review at least annually to keep information current and accurate. Ensure documents are saved on the s drive to back up documentation uploaded into IIR, Service Hub/UC Accommodate. Utilize consistent naming methodology to ease searching for documents by DMS Team
- Respond timely to requests from Sedgwick for wage statements, DWC-1 forms and other documents that may be necessary to process the claims. This includes but is not limited to personnel files and job descriptions. Performs necessary photo copying or faxing of documents or information as necessary
- Responsible for all front office duties; greet visitors, answer phones, respond to general questions related to workers' compensation or disability accommodation. Transfer to other DMS team members for more in depth questions as needed. Assist DMS team with general administrative support. Assist DMS Manager with project work upon request
