Responsibilities
  • Plan, organize, and implement small events or portions of larger events such as conferences, program events, Commencement, Receptions, and VIP briefings, including sub‑responsibilities such as parking, transportation, or catering.
  • Contribute to and collaborate on planning of Dean’s Office and Degree Program events with various stakeholders.
  • Under the direction of the Director of Events, negotiate and secure contracts, permits, and certificates of insurance in accordance with campus and Office of Risk Management policies and procedures.
  • Manage and track event budgets.
  • Serve as a liaison to and resource for event constituents and staff before and during events.
  • Provide guidance for Event Planning.
  • Monitor and respond to Departmental emails.
  • Communicate policies, procedures, and processes.
  • Possibly update portions of the department website.
  • Participate in and, in some cases, lead staffing plans, including creating staff schedules for events and acting as on‑site liaison for vendors, colleagues, and speakers.
  • Engage in professional learning and growth by participating in training, workshops, seminars, and continuing education relevant to the position.
  • Actively contribute to a team environment that fosters and promotes a culture of diversity, equity, inclusion, and belonging (DEIB) within the unit and at Haas.
  • Exemplify Haas' four Defining Leadership Principles:

  • Maintain knowledge of the Event & Space Management Team business processes to provide backup support to the team.
  • Perform other duties as assigned.
Required Qualifications
  • Working knowledge of event planning, production, and public relations concepts, principles, and practices.
  • Understanding of the campus, its programs, policies, mission, goals, objectives, achievements, and infrastructure.
  • Strong organizational skills and ability to coordinate and organize multiple details.
  • Excellent calendar management and student/volunteer scheduling abilities.
  • Good interpersonal communication skills and political acumen, including effectively representing the campus or a university organization to various publics.
  • Judgment and effective decision‑making skills, with the ability to recognize and address potential problem areas and to determine when to bring issues to higher‑level staff or management.
  • Ability to work in diverse groups, including students, staff, faculty, the general public, production personnel, technical operators, and performing artists.
