The Project Administrator plays a critical role in supporting active construction projects and ensuring project operations remain organized, compliant, and moving forward efficiently. This role reports to the Senior Project Administrator and works closely with Project Managers, Superintendents, subcontractors, consultants, and project partners throughout the construction lifecycle. Projects typically include multi‑family affordable housing developments, often with complex requirements, compliance tracking, and document‑heavy workflows.
This is a fast‑paced role where priorities are influenced by active jobsite operations. Success requires strong organizational skills, attention to detail, and a working knowledge of construction documentation and processes.
- Support project setup and maintain accurate project documentation in Procore
- Manage and track RFIs, submittals, and change orders across multiple projects
- Prepare and administer subcontract agreements and assist with contract execution workflows
- Coordinate subcontractor onboarding, including insurance certificates and compliance tracking
- Track subcontractor insurance, lien releases, and closeout documentation
- Assist with pay application support and related documentation coordination
- Maintain drawing logs and ensure current plan sets are distributed to project teams
- Support communication between field teams (Superintendents) and office staff (Project Managers)
- Collect, organize, and assemble project closeout documentation packages
- Help ensure project information is accurate, current, and accessible across teams
- Identify opportunities to improve consistency and efficiency in project operations
Required
- 3–5+ years of experience supporting active construction projects in a general contractor, subcontractor, or construction management environment
- Hands‑on experience with construction documentation workflows, including RFIs, submittals, change orders, and closeout packages
- Experience supporting multiple active construction projects simultaneously
- Strong working knowledge of Procore or similar construction management software
- Excellent organizational skills and attention to detail in document‑heavy environments
- Ability to manage competing deadlines in a fast‑paced, field‑driven environment
- Self‑motivated and able to work both independently and collaboratively
- Strong written and verbal communication skills across project teams
- Must be local to the San Francisco Bay Area and able to work onsite in Berkeley
Preferred
- Experience working for a general contractor on multi‑family or commercial construction projects
- Familiarity with subcontract agreements, insurance compliance, and lien release processes
- Experience supporting Project Managers and Superintendents directly
- Proficiency in Microsoft Office and Docu Sign
- Understand how jobsite activity impacts documentation timelines and priorities
- Be comfortable working in a fast‑moving environment with shifting demands
- Proactively follow up with subcontractors and internal teams to keep projects moving
- Takes ownership of project organization and documentation accuracy
- Thrives in a collaborative, team‑oriented construction environment
- Your experience is primarily in non‑construction administrative roles
- You are unfamiliar with construction workflows such as RFIs, submittals, or change orders
- You prefer highly predictable, low‑variability work over dynamic, project‑based environments
Salary range: $90,000–$110,000 annually
