The Bancroft Library is the primary special collections library at UC Berkeley, and one of the largest and most heavily used libraries of manuscripts, rare books, and unique materials in the United States. Bancroft supports major research and instructional activities and plays a leading role in the development of the university’s research collections.

Position Summary

The Friends of The Bancroft Library Coordinator serves an important role on The Bancroft Library's administrative team and is responsible for supporting and coordinating the library's engagement and communications with current and prospective donors, alumni, volunteers, the UC Berkeley campus community, and the general public. Reporting to the Bancroft Director, the Friends Coordinator works collaboratively with Bancroft and University Library staff to provide high-level administrative support for donor stewardship, public programs, communications (including publications), and special projects.

Alongside the Bancroft Director, the Friends Coordinator supports the members and activities of The Friends of The Bancroft Library, a University of California, Berkeley support group with 501(c)(3) nonprofit status. The Friends Coordinator works closely with The Friends of The Bancroft Library Council Executive Committee, which includes a rotating chair, co-chair, and treasurer, as well as the Friends Secretary, who is the Bancroft Director.

Responsibilities

30%

  • In collaboration with the Bancroft Director and Friends Council Executive Committee, coordinates activities of the Council of The Friends of The Bancroft Library, including planning, supporting, and developing agendas for quarterly Council meetings, committee meetings, and the annual meeting.
  • The Coordinator also assists in developing agendas, presentation materials, and written remarks for Friends of The Bancroft Library events and meetings.

  • With the Bancroft Director and the UC Berkeley Library Development Office, serves as the lead Bancroft staff person focused on coordination of donor stewardship and cultivation within The Bancroft Library.

  • Serves as Bancroft's key liaison with the UC Berkeley Library Communications Office. Prepares and/or assists in preparing written and visual materials, including Friends of The Bancroft Library publications (such as a regular newsletter and an annual "keepsake"), event calendars, and other written and visual outreach materials. May create social media posts.

  • Designs and supports programs, events, and communication strategies for Bancroft donors, alumni, Friends of The Bancroft Library Council members, and other key constituencies of Bancroft Library programs. (Bancroft constituents may include, but are not limited to, donors, prospective donors, campus visitors, community representatives, government officials, the general public, alumni, prospective and current students, and their families/supporters.)

  • Collaborates with the UC Berkeley Library Development Office and campus-level partners, as needed, in conducting research and discovery on donors and funds to support stewardship, as well as proposal and prospect development.
  • Assists the Bancroft Director and Library Development team in preparing for donor visits, including scheduling, running donor reports, preparing prospect briefings, and drafting presentations.
  • With the Library Development team, ensures donor information and data are accurate and up-to-date in campus systems.

  • Coordinates Bancroft Library and Friends of The Bancroft Library meeting and event logistics.
  • Works with Bancroft and Library Development colleagues to facilitate tours of The Bancroft Library gallery, exhibitions, pop-ups, and open houses.
  • Also assists in planning and execution of library events, such as Homecoming and Cal Day.
