The Financial Analyst is a key partner in achieving BAMPFA's mission and vision by maximizing our income mix for the financial health and sustainability of the museum across multiple departments within the organization. This position's role is to be a strong detail-oriented individual contributor who understands museum operations and clearly communicates key findings to stakeholders across the organization. The Financial Analyst brings their interest in both practical details and big picture concepts to communicate financial performance compared to budget, short-term and long-term business performance in their areas of responsibility, and other financial analysis as needed.

This position reports to the Senior Manager of Budget & Finance.

Responsibilities

25%

  • Manages pre-award and post-award contract and grant accounting, including pre-award budget development, compliance, financial management, fund allocation, budget-to-actuals analysis, interim and final and close out activities for federal, state, local and private sponsors.
  • Tracks and ensures proper disbursement and allocation of restricted grant and donation funds.
  • Works closely with the Grants Manager on pre-award, interim, final, and cost-share reporting, provides ad hoc financial reports, and partners with grant-funded project PIs on budget development, allocation, and approval of appropriate expenses.

  • Develops, implements and manages Exhibition budget-to-actual analyses, including financial modeling, reforecasting, trend analysis and variance analysis.
  • Collaborates with managers to develop and improve reporting templates, tools, and customized reports that support multi-year exhibition budget and project budget tracking, fund management, and financial decision-making.
  • Tracks budget owner review and approval processes and provides fund balances and financial analyses as needed.

15%

  • Assist with the review and follow-up of monthly income and fund analysis reports; coordinate stakeholder discussions on current and projected income and funds; collaborate with income-generating units, including Development and Visitor Experience, to support reforecasting efforts.
  • Perform cost-benefit analyses, as needed, to maximize revenue opportunities.

  • Assists the Senior Manager of Budget and Finance with ad-hoc reporting, quarterly comp reconciliation, fiscal close related tasks such as: fund deficit clearing, fund alignment, and other projects as assigned.
  • May act as backup to the Finance Operations Specialist as needed.

  • Provides guidance to less experienced team members on financial processing functions with a focus on accounts receivable, purchasing, recharge billing, travel / entertainment.
  • Guides purchasers and budget owners on correct use of chart of accounts on a daily basis.
  • Works directly with Finance Operations Specialist (Account Payable) on available fund balances and appropriate use of funds and approval for use of funds.

  • Assist with the oversight of the income mix for BAMPFA including earned income, endowments, current use funds, campus support, and grants.
  • Oversees invoicing and ensures payments are received in a timely manner.
  • Ensures income is being funneled into the appropriate fund and tracked accordingly.

  • Maintains current knowledge of federal and non-federal research administration guidelines, sponsor requirements, and compliance standards through ongoing training and review of applicable policies in order to successfully implement a diverse range of financial services.
  • Recommends improvements to financial processes to ensure compliance with federal, state, sponsor, and internal audit requirements while identifying opportunities for new revenue and campus support.
Required Qualifications
  • Thorough knowledge of financial data management and reporting systems.
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Experienced with all types of award mechanisms, including grants, contracts, subcontracts, gifts, and cooperative agreements.
