Our next Payroll and HR Coordinator will be dynamo; someone who is fluent in both English and Spanish, who thrives in a fast‑paced environment, and runs payroll within the first three days of each week while also performing H.R. basics such as onboarding and background checks.
The right person for this position is someone who enjoys supporting their team by making sure that folks are taken care of from an H.R. and payroll perspective; covered legally and paid on time. Your Spanish language skills will come in handy as you visit up to five locations throughout the Greater Bay Area to teach field staff how to use their new mobile time‑keeping application: ADP with Econz.
Responsibilities- Serve as the sole person responsible for processing all payroll across for +/- 100 employees
- Train field staff to use our new ADP application on smartphones at up to five field locations
- Work full‑time on‑site on the multi‑floor building that does not have an elevator. You’ll need to go upstairs and downstairs multiple times throughout the day
- Accurately process hourly payroll once per week and salaried payroll bi‑weekly including overtime, commissions, bonuses and all applicable taxes, 401(k) contributions, and health insurance premiums
- Create reports that outline deductions, overtime, tax liabilities, etc.
- Review payroll data accuracy and comply with local/state/Federal regulations ensuring all payroll tax filings are correctly submitted
- Work alongside our Human Resources and Payroll Manager on benefits, PTO‑related deductions, employee payroll records, promotions/wage increases, separations/final checks, tax forms, and attendance data
- Collaborate with other accounting‑ and office‑related managers and staff
- Other payroll and human resources functions as directed by your manager
- Great at payroll; enjoy the process and routine of running payroll cycles
- Familiar with the basics of HR and onboarding, including pre‑employment background checks (background, CA‑DMV records, and sending folks to have a physical exam), and have dealt with H.R. issues in the past
- Happy to provide phone support, answer payroll inquiries, guide employees through the time‑keeping app, and support those who have payroll‑related questions
- Comfortable maintaining confidentiality and using discretion
- A decent writer and can create clear and professional communications via email
- Make data entry changes quickly and troubleshoot time‑keeping and payroll issues in a timely manner, following up to let each employee know their issues have been resolved
- Great attention to detail and takes pride in getting work done quickly and accurately
- Bi‑lingual English/Spanish
- Experience doing payroll for +/- 100 people, including weekly and biweekly
- Interest in Human Resources and willingness to take on more HR work over time (onboarding, background checks, cultural development, etc.)
- Willingness to monitor GPS tracking of hourly employees
- Reliable transportation to the office in Berkeley and to remote sites between Hayward and Martinez, CA
- Physically fit enough and/or able to walk up two flights of stairs multiple times throughout the day
- Authorized to work in the U.S. without sponsorship
- Having deep ADP Payroll experience (use of ADP for several years, knowledge of ins and outs, and experience with ADP‑Workforce Now with Econz phone‑based time tracking)
- Coursework in accounting, finance, economics, or business
- Living near our headquarters in South Berkeley
- Excel skills such as VLOOKUPs, pivot tables, etc.
- Having experience auditing payroll results to ensure compliance with tax laws and company policies
- Knowing how to run certified payroll
- Full‑time/permanent position with medical, dental, and optical insurance paid at 100% after 90 days of employment

- Hourly rate between $29.00 and $31.00 per hour
