Position Overview
We are looking for a Hospital Manager who works daily to develop an efficient and effective hospital support team by fostering an environment of trust, teamwork, and accountability. The Hospital Manager partners with the Veterinarian to provide an efficient and profitable operation by driving revenue and managing costs while creating a hospital culture based on high‑quality patient care and excellent customer service.
Location:
Berkeley Dog & Cat Hospital, Berkeley, CA. The hospital provides General Practice & Urgent Care services and offers a state‑of‑the‑art facility.
- Supervise staff within all hospital support departments and achieve labor goals.
- Hire and train office and technical clinic support staff; handle new‑hire paperwork.
- Orient and train new clinic staff to hospital duties.
- Review performance of direct reports, deliver constructive feedback, resolve personnel issues, and discuss with the Regional Manager weekly.
- Conduct timely performance appraisals.
- Document and report accidents; file appropriate reports.
- Write policies and procedures for all technical aspects of the hospital and present for approval.
- Manage schedules for technical and administrative staff and coordinate the DVM’s schedule.
- Monitor workforce management for missed punches and overtime hours daily.
- Administer daily operations and ensure compliance with administrative responsibilities.
- Monitor budgets, purchase equipment and supplies, and oversee facility maintenance.
- Submit contract veterinarian invoices, local vendor invoices, ensure invoice accuracy, and obtain W‑9s from vendors.
- Assist in resolving issues with pet owners when appropriate.
- Review revenue, labor, and employee issues with Pet Vet leadership weekly; achieve set goals.
- Handle all local accounting functions; ensure daily financial information accuracy.
- Oversee inventory management and maintain proper documentation and systems.
- May establish and oversee billing practices; review and maintain billing accuracy and oversee charge capturing.
- May handle contracts or negotiations with insurance providers.
- Maintain compliance of current licensure and display of licenses for DVMs; keep licenses updated.
- Perform other duties and responsibilities as assigned by the Manager.
- Bachelor’s degree in business, health science or related field strongly preferred.
- At least five years of direct office management experience, including at least two years of supervisory experience.
- Equivalent combination of education, certification, training, and/or experience may be considered.
- Ability to provide customer service in a courteous, prompt, and efficient manner.
- Computer proficiency in Microsoft Office (Word, Outlook, Excel) and organization‑specific software.
- Establish and maintain productive and cooperative working relationships.
- Active time‑management and organizational skills to complete work promptly.
- Excellent communication skills, both oral and written.
- Flexibility with scheduling; able to work some weekends and holidays.
- Ability to work around sick animals, potentially hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors.
- Tasks may involve extended periods at a keyboard or workstation and/or extended periods standing, walking, climbing, balancing, stooping, kneeling, crouching, or crawling.
- Tasks may involve moderately physically demanding work, including lifting or carrying moderately heavy animals (up to 50 pounds).
- Other duties and responsibilities as assigned by management.
- Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA) is preferred.

$90,000 – $100,000 USD
