ResponsibilitiesUsing knowledge of department policies, services, resources, and personnel, as well as academic requirements and procedures, the Assistant Director of Events and Operations serves as a resource and provides information and advice to students and all other parties interested in matriculating through or interacting with the Haas Undergraduate Program. This role forwards non‑routine inquiries to the appropriate resource, maintains knowledge of Undergraduate Program processes in order to provide back‑up to other functions within the unit, as needed.
Manages Travel & Entertainment process for staff professional development.
Involves a wide range of student affairs services, duties, and responsibilities for the Haas Undergraduate Program. Coordinates larger annual program events and other student affairs programming and activities. Supports the international and domestic case competition training program, working closely with the Director of Global Experience. Manages booking student travel & entertainment process, policies, and track budget through chartstring.
Provides assistance to the Assistant Dean, students and faculty in academic advising, recruitment, pre‑admissions, student orientation and events and related student affairs services and programs.
Advises student leaders on event planning, room reservations and event policies in collaboration with the Student Affairs team. Responsible for managing and submitting all student signature and standard reservation requests and updating policies and guidelines as needed. Responsible for all student and staff reimbursement requests and processing.
Events and Operations- Develop efficiencies and processes to enhance the student experience and student affairs.
- Support and manage logistics and event planning related to Golden Bear Orientation, Welcome Activities, Cal Day, Haas Picnic, and other UGPO Signature events.
- Assist with international and domestic travel and lodging arrangements for student trips, as needed.
- Create and implement new and exciting extracurricular activities to enhance the student engagement and experience in collaboration with the Student Affairs team.
- Develop and maintain relationships including contract negotiations with vendors for student experience events, including food & beverage, hotels, etc.
- Continually evaluate quality and cost effectiveness of vendors and recommend changes to the UG Program Leadership Team.
- Tracks the UG Program Budget, making recommendations to the UG Program Leadership Team.
- Manages purchase order processing and related vendor activities.
- Manage all student and staff reimbursement and reconciliation processes.
- Supports the internal and international case competition program, which includes serving as a contact to students, international partners, handling all travel logistics, reservations, implementation and related activities.
- Manages the travel and entertainment reimbursement process and risk management protocols.
- Respond to inquiries from students, faculty, UG program staff, and other campus offices regarding program requirements and requests for assistance.
