Are you driven to help others succeed? Fortunato Construction Group is seeking a highly organized and proactive individual to serve as an Executive Assistant to the CEO of our construction company. The ideal candidate will possess excellent communication skills, impeccable attention to detail, and the ability to manage both executive-level responsibilities and personal tasks for the CEO.
In this role responsibilities vary widely, but will include:- Providing comprehensive administrative support to the CEO, including managing schedules, coordinating meetings, and handling correspondence.
- Acting as a gatekeeper, screening and prioritizing incoming calls, emails, and other communications for the CEO.
- Assisting in preparing presentations, reports, and other materials for executive meetings and presentations.
- Managing travel arrangements and accommodations for the CEO, including booking flights, hotels, and transportation and other reservations.
- Coordinating and overseeing special projects and initiatives as assigned by the CEO, ensuring timely completion and adherence to deadlines.
- Handling personal tasks and errands for the CEO, such as organizing personal appointments, and coordinating family events.
- Maintaining confidentiality and discretion in handling sensitive information and matters pertaining to the CEO's personal and professional life.
- Acting as a liaison between the CEO and internal/external stakeholders, ensuring clear and efficient communication.
- Conducting research and provide support on various business and personal matters as needed.
- Assisting in managing the CEO's professional network, including scheduling meetings with clients, partners, and industry contacts.
- Assisting other team members with administrative tasks and projects as required
- Coordinate office activities, company meetings and events, including an annual charity golf tournament.
- Support onboarding activities and administrative needs for new employees.
- Assist with the creation and distribution of marketing materials, presentations, and proposals.
- Help develop and schedule social media posts.
- Bachelor's degree in business administration, communications, or a related field preferred.
- Proven experience as an executive assistant, preferably supporting C-level executives.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with a professional and polished demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with Adobe Suite (InDesign, Photo Shop, Illustrator) is a plus.
- Discretion and confidentiality in handling sensitive information and matters.
- Flexibility and adaptability to accommodate changing priorities and schedules.
- Ability to anticipate needs and proactively address issues before they arise.
- Ability to learn and manage multiple software systems and databases.
- Strong event planning and logistics coordination skills.
- Experience in the construction industry or related field is a plus.
- Willingness to occasionally work outside of standard business hours as needed.
