Assistant Director of Finance and Operations

GENERAL STATEMENT OF DUTIES:
The Assistant Director of Finance and Operations plays a critical role in assisting in the management of the financial health and operational integrity of the Berlin Public Schools. Under the direction of the Director of Finance and Operations, this position is responsible for performing professional accounting work, maintaining financial records, assisting with budget preparation, and ensuring compliance with federal, state, and local regulations governing public school finance.

Provides leadership and oversight to the department when the Director is unavailable.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists the Director of Finance and Operations in the preparation and maintenance of financial records, general ledgers, and journal entries in accordance with Generally Accepted Accounting Principles (GAAP) and Governmental Accounting Standards Board (GASB) guidelines.
  • Coordinates the preparation of monthly, quarterly, and annual financial statements for departmental review.
  • Assists the Director of Finance and Operations in the development, implementation, and monitoring of the District's annual operating budget.
  • Serves as the primary backup for payroll and accounts payable departments.
  • Manages inventory and fixed assets.
  • Serves as the System Administrator for Frontline Time and Attendance, acting as the primary subject matter expert for campus users, troubleshooting technical issues, and performing pre-payroll audits to ensure data integrity.
  • Assists in managing custodial operations across all District facilities.
  • Partners with the Facilities Department on the planning and coordination of special building projects.
  • Collaborates with the Director of Finance and Operations in the preparation of comprehensive RFPs, Board agenda items, and executive level presentations.
  • Oversees FOIA requests for the department, ensuring district compliance with public records laws.
  • Performs other duties as assigned by the Director of Finance and Operations.

MINIMUM QUALIFICATIONS, KNOWLEDGE, SKILL AND ABILITY:

  • Education:

    Bachelor's degree in Accounting, Finance, or a closely related field preferred.
  • Certifications:

    Eligible for Connecticut State Department of Education (CSDE) 085 certification (or immediate eligibility to obtain) preferred;
    Certified Public Accountant (CPA) or Certified Management Accountant (CMA) is a plus.
  • Technical

    Skills:

    Proficiency in modern ERP/financial software (e.g., Tyler School ERP-Pro, Power School, My School Bucks ) and advanced proficiency in Microsoft Excel.
  • Knowledge:
    Strong understanding of GASB standards, fund accounting, and state/federal education grant regulations.
  • Soft Skills:

    Excellent analytical, organizational, and communication skills, with the ability to explain complex financial data to non-financial stakeholders, and the ability to work effectively with a diverse staff in a cooperative manner.

REPORTS TO:

Director of Finance and Operations

TERMS OF EMPLOYMENT:
This is a non-affiliated full-time 52-week, 40 hour per week position, Monday through Friday, 8:00 a.m. to 4:00 p.m. Salary range $85, dependent on education and experience.
