Volunteer & Serve Team Assistant Grace Klein Community

Grace Klein Community is seeking a motivated and enthusiastic Volunteer and Serve Team Assistant to support the Volunteer and Serve Team Coordinator in recruiting, organizing, and managing volunteers and Serve Teams. The Assistant plays a key role in ensuring volunteers are engaged, equipped, and empowered to make a positive impact within our community.

• Assist in implementing strategies to recruit volunteers from diverse backgrounds and skill sets.
• Create Instagram stories and share pictures daily of quick interviews with volunteers and staff to help tell the story. Tag Grace Klein Community and FeedBHM for quick sharing.

• Ensure all volunteers are warmly welcomed, properly oriented, and provided with a tour of the space, then thoughtfully placed in areas where support is most needed.
• Ensure all volunteers understand the mission, vision, and “why” behind Grace Klein Community before serving.
• Ensure all volunteers complete and sign their waiver prior to serving.
• Assist in providing resources, materials, and guidance to prepare volunteers to support operations.

• Help maintain communication with volunteers regarding upcoming opportunities, updates, and appreciation efforts.
• Support efforts to foster a positive and supportive volunteer environment.
• Utilize and actively engage the GKC Whats App volunteer group chat to garner volunteer support and share opportunities.

• Assist in cultivating relationships with volunteers and Serve Teams to enhance volunteer engagement.
• Participate in an on-call rotation schedule for weekend Serve Teams.
• Capture photos, videos, and testimonials of Serve Teams to help tell the story of impact.

• Maintain accurate records of volunteer information, hours contributed, and impact metrics.
• Assist in generating reports and analytics to evaluate volunteer engagement and program effectiveness.
• Track and maintain key performance indicators (KPIs), ensuring weekly metrics are accurately recorded and up to date.
• Proactively work toward KPI goals by applying focused effort and aligning metrics with areas of need to support individual and organizational impact.

• Assist in receiving, organizing, and distributing incoming donations, ensuring items are properly logged and placed in designated areas.
• Engage and lead volunteers in intake processes, including sorting clothing in the processing room, organizing shoes, and logging books and donated items.
• Provide leadership to volunteer teams assigned to the Community Outreach Hall, ensuring clarity of roles and efficient workflow.
• Encourage and guide volunteers in completing scripture cards and encouragement cards as part of the outreach experience.
• Assist in organizing and leading volunteers in writing thank-you notes, ensuring donor acknowledgments are completed accurately and within each quarter.
• Support program-related events by helping lead, coordinate, and engage volunteers as needed.
• Assist in recruiting and securing volunteers for program events and special initiatives.
• Uphold and actively cultivate the culture of Grace Klein Community by maintaining a positive, uplifting, and welcoming atmosphere, including ensuring worship music is consistently played in shared spaces.
