About the RoleWe are seeking a proactive, dependable, and hands-on Office Services Associate to support daily office operations and help ensure a smooth, efficient, and welcoming workplace. This role is ideal for someone with a strong sense of ownership, a customer-service mindset, and the ability to thrive in a fast-paced corporate environment.
The Office Services Associate will support a broad range of operational needs, including vendor coordination, mail and shipping, print production, hospitality services, basic IT and AV support, and serve as a backup receptionist when needed. Prior experience in office services or print production is required. This position also involves physical activity, including lifting up to 50 pounds as needed.
Key ResponsibilitiesOffice Operations & Supplies
- Manage office supply inventory and coordinate vendor orders to maintain appropriate stock levels
- Serve as the primary point of contact with building management and the landlord for maintenance requests, repairs, and cleaning coordination
Mail & Shipping
- Receive, log, scan, and distribute incoming mail and packages
- Prepare outgoing and interoffice mail, ensuring proper postage and timely delivery
Hospitality & Event Support
- Coordinate catering orders and manage food pickup for meetings and events
- Set up and break down conference rooms before and after meetings
- Maintain kitchen and pantry areas, including restocking supplies and preparing coffee as needed
Print & Production Services
- Fulfill internal print, copy, binding, and finishing requests
- Ensure quality control and timely delivery of all print projects
- Provide basic audiovisual setup and support for meetings
- Distribute laptops, docking stations, and related equipment to employees
- Track IT inventory and request replenishment of supplies as needed
Security & Access Management
- Create, deactivate, and monitor employee access cards
Onboarding & Office Setup
- Prepare workstations for new hires, ensuring all equipment and technology are functional
- Set up desk phones, monitors, and other office equipment as required
- Process vendor invoices through client financial systems to ensure timely payment
- Serve as backup receptionist, greeting visitors, answering phones, and assisting with front-desk duties as needed
- Minimum of 2–3 years of experience in office services, facilities, or print production
- Strong interpersonal and communication skills with a service-oriented approach
- Ability to manage multiple priorities and adapt quickly to changing needs
- Comfortable performing hands-on tasks and lifting up to 50 lbs
- Proficiency with Microsoft Office Suite and standard office technology
- Highly reliable, detail-oriented, and self-motivated with a strong sense of accountability
