Grade: 14.
Main Purpose of JobThis position reports directly to the State Fire Marshal. It serves as a personal secretary and assistant to the State Fire Marshal, providing administrative support and acting as the primary point of contact between the Fire Marshal and internal/external stakeholders. The role supervises lower‑level clerical employees.
Position Duties- Interpret administrative decisions and policies to staff and transmit orders and instructions on behalf of the Fire Marshal.
- Act as intermediary for the Fire Marshal, maintaining frequent contact with public and private executives and other officials.
- Compose correspondence and compile data into concise formats to relieve the Fire Marshal of operational details.
- Provide information to callers regarding laws, rules, regulations and agency procedures.
- Maintain confidential records, schedules, expense accounts, and office supplies.
- Proofread and sign outgoing correspondence, reviewing records for completeness and accuracy.
- Read and summarize reports to facilitate the supervisor’s review.
- Supervise and guide lower‑level clerical staff.
- Perform other related duties as assigned by the Fire Marshal.
Education:
Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience:
Six years of administrative or secretarial work involving typing duties. Thirty college credits may substitute for one year of experience, up to four years of the required experience.
- Experience with Windows operating systems (preferably Windows 10).
- Experience with Microsoft Office (Word, Excel, PowerPoint).
- Experience with Google Workspace (Docs, Sheets, Slides).
- Experience taking meeting minutes.
- Experience drafting and sending correspondence for an executive or commander.
