Job Responsibilities
As a detailed and organized individual, the Executive Assistant is responsible for providing administrative and organizational support to assigned senior executives. The Executive Assistant is privy to confidential and sensitive company information and strictly maintains its confidentiality, communicating with appropriate discretion.
Organizational and administrative support includes calendar management, meeting preparation, travel coordination, expense reporting, document organization, and follow-up on key priorities.
Manage a complex and frequently changing schedule, prioritizing meetings and commitments with sound judgment and a clear understanding of business priorities.
Prepare agendas, meeting materials, presentations, reports, correspondence, and briefing documents for internal and external meetings.
Independently manages assigned Department initiatives using effective project management, organizational tools, and communications with project stakeholders.
Organizes and maintains company contracts and insurance policies. Liaises with executives, vendors, brokers, and insurance carriers to ensure effective, efficient coordination and information exchange.
Uses the Concur software to prepare expense reports for senior executives.
Qualifications- Minimum of 2 years of experience in an Administrative Assistant or Project Manager role.
- Strong proficiency in using Microsoft Excel.
- Ability to create visually engaging presentations using Microsoft Powerpoint.
- Experience using Google business applications (Sheets, Docs, Drive…etc.).
- Experience creating and using Docusign workflows.
- Prior experience using project management software such as MS Project, Smartsheets, Asana, or similar applications.
- Ability to use Artificial Intelligence applications to enhance productivity, communications, and organization.
- Prior exposure to organizing and/or reviewing commercial contracts and insurance policies.
- Excellent written and verbal communication skills.
- Ability to work independently, multitask, and effectively manage competing priorities.
- Other functional foreign language skills are an advantage.
- Hotel and/or Hospitality operations experience.
- Experience supporting financial executives at the VP level and above.
This role offers a base salary range of $80,000-$110,000 plus a comprehensive medical, dental, vision and voluntary benefits, 401k employer match, employer paid life insurance, employee assistance program and a team member hotel stay program.
