Hours:
8:00 AM – 4:00 PM; willingness and ability to work overtime, as needed.
The Administrative Assistant provides administrative and organizational support to the New Construction Department. This position is responsible for maintaining accurate files and records, assisting with day-to-day administrative activities, coordinating documents and information, and supporting department projects and operational needs.
KEY RESPONSIBILITIES- Provide administrative and clerical support to the New Construction Department.
- Maintain organized and accurate department files, records, documents, and other administrative materials.
- Prepare, organize, update, and distribute documents and information as needed.
- Assist with routine administrative tasks and departmental activities to support daily operations.
- Assist with special projects and other administrative initiatives as assigned.
- Accurately enter, maintain, and retrieve information using company systems and office software.
- Communicate professionally and effectively with employees, customers, vendors, and other business contacts as needed.
- Prioritize and manage multiple tasks while meeting established deadlines.
- Maintain confidentiality and exercise appropriate discretion when handling company and employee information.
- Maintain a professional and organized work environment.
- Perform other related duties as assigned.
- High School Diploma or GED required.
- Strong computer skills with proficiency in Microsoft Office applications, including Word, Outlook, and Excel, as well as the ability to operate standard office equipment and learn company systems and software.
- Strong verbal and written communication skills with the ability to communicate professionally with employees, customers, vendors, and other business contacts.
- Strong administrative, organizational, and time-management skills with the ability to prioritize multiple tasks and meet deadlines.
- Ability to follow written and verbal instructions, maintain accuracy, and exercise appropriate judgment and discretion.
- Ability to regularly use hands and fingers for typing, filing, handling documents, and operating office equipment.
- Ability to communicate effectively in person, by telephone, and through electronic communication.
- Ability to occasionally stand, walk, bend, reach, and move throughout the office as needed.
- Ability to visually review and read documents, computer screens, and other printed or electronic materials.
- Ability to occasionally lift, carry, and move office materials and supplies as needed.
- Primarily works in a professional, climate-controlled office environment.
- Regularly work at a desk and computer workstation.
- May occasionally move throughout the office and interact with employees, customers, vendors, and other business contacts.
