The Employment Authorization Specialist will independently provide administrative support services to satisfy the operational objectives of the NIH Office of Research Services, Division of International Services (DIS). Responsibilities include reviewing, editing, and entering foreign national information into the DIS database; preparing immigration packages for pre-sponsorship vetting and renewal with the HHS Office of National Security; drafting Electronic Notices of Action (eNOAs) for Immigration Specialist review;
maintaining Key Contact information, physical and computerized files, and the Division's Enterprise Database (nVISTAS); and supporting new hire onboarding, front office coverage, and communication with external technology sources. A Bachelor's degree in Business Law or Human Resource Management is required, along with expertise in Microsoft Word, Excel, and Outlook, strong oral and written communication skills, and excellent organizational and time management skills.
This role is performed on site, with telework flexibility potentially available after three months from onboarding.

- Computer-generated work including maintaining databases, computerized files and records, and contact databases; tracking all requests and disposition of requests; and preparing graphs, charts, and PowerPoint presentations.
- Computer-generated work including setting up and formatting spreadsheets to analyze and interpret information and make projections; maintaining electronic calendars; scheduling appointments, meetings, and conferences; updating website content; and maintaining peripheral hardware.
- Work products and documents related to communication with external technology sources.
- Review, edit, and enter foreign national information from Form 829-1 and 2 and the DIS Portal into the DIS database.
- Prepare immigration packages for submission to the Office of National Security for pre-sponsorship vetting and renewal.
- Confirm foreign national data requiring FNMS/ONS submission with the HHS Office of National Security.
- Be responsible for the Division's property management and maintain required certifications.
- Draft Electronic Notice of Actions (eNOAs) for Immigration Specialist (IS) review.
- As assigned, collect NIH contract staff immigration documents for clearance by an Immigration Specialist (IS).
- Work with staff in the waiver review area, including collecting and preparing all information for final adjudication; entering databases; creating files; verifying information; and responding to general inquiries.
- Maintain Key Contact information for NIH Institutes, Centers, and Offices (ICOs) and FDA Centers.
- Follow up with and confirm arrival dates with scientists, and adjust dates as needed.
