Family Office Associate Overview
- The Family Office Associate plays a pivotal role in managing financial operations and administrative tasks for the client.
- Ensure accurate processing and coding of invoices and deposits across multiple entities.
- Reconcile accounts, vendor statements, and credit card transactions to maintain financial accuracy.
- Prepare and track mailings for legal and financial documents to trustees and beneficiaries.
- Provide administrative support by initiating IT and facilities requests for operational efficiency.
- Collaborate with vendors to resolve discrepancies and execute timely payments.
- Maintain discretion and integrity while handling sensitive financial information.
- Work on-site to ensure seamless communication and operational support.
- Contribute to financial reporting, data analysis, and tax compliance efforts.
- Review and process vendor invoices and personal expenses with accuracy and timeliness.
- Execute payments through credit cards, checks, and electronic transfers.
- Ensure proper documentation and coding of invoices and deposits to general ledger accounts.
- Reconcile vendor statements, bank accounts, and credit card transactions regularly.
- Prepare and track mailings for legal and financial documentation.
- Initiate IT and facilities requests to support operational needs.
- Assist in financial reporting, data analysis, and ensuring tax compliance.
- Maintain organizational efficiency and prioritize competing deadlines effectively.
- Collaborate with external advisors and internal teams for seamless operations.
- Bachelor's degree in Finance, Business Administration, or equivalent experience preferred.
- Minimum 3 years of experience in finance or accounting; 5 years preferred.
- Proficiency in Microsoft Excel and Office Suite; experience with accounting software like Sage Intacct or Quick Books.
- Strong organizational skills and attention to detail in financial operations.
- Knowledge of basic accounting principles and investment terminology.
- Ability to handle sensitive financial information with discretion and integrity.
- Excellent oral and written communication skills for effective collaboration.
- Capability to prioritize tasks in a fast-paced environment.
- Must be 21 years or older and able to work on-site five days a week.
