Position Title Business Systems Support Specialist Overview
The Business Systems Support Specialist serves as the primary systems administrator for Admiral Security Services and ADM Security Solutions, overseeing the management and optimization of our enterprise resource planning platforms, including payroll, billing, HRIS, and Applicant Tracking Systems. This position functions as the central conduit for systems support, guidance, and issue resolution for divisional and regional offices across the United States.
In addition, the role collaborates closely with our parent company’s corporate HR, Accounting, and IT departments to ensure alignment, compliance, and seamless integration of organizational processes and system functions.

Responsibilities- Serve as the primary liaison and systems administrator for ERP and related platforms supporting all Admiral/ADM divisional and regional staff nationwide.
- Train and support employees and managers on the ERP, payroll, billing platform, applicant tracking system, and other enterprise HRIS functions.
- Provide administrative and helpdesk support for all system users, ensuring timely assistance with system access, functionality, and troubleshooting needs.
- Investigate and resolve system issues by identifying root causes and coordinating resolution with vendors or the parent company’s IT department.
- Coordinate, test, and validate new system features, enhancements, and process improvements across payroll, billing, HRIS, and ATS platforms.
- Develop, maintain, and distribute training materials for all enterprise systems; deliver virtual training sessions, onboarding instruction, and refresher courses.
- Monitor and ensure compliance with payroll and billing deadlines for all locations and users.
- Regularly review systems-generated reports, identify discrepancies, and escalate issues to the senior leadership.
- Prepare analytical reports for Division Vice Presidents and Senior Leadership, including operational efficiency metrics, recruitment statistics, and compliance data.
- Coordinate billable charges (such as parking and other reimbursables) with the Accounts Payable department.
- Process job modifications to ensure client information, pay rates, and billing configurations are accurately updated in BOETA.
- Review and validate invoice drafts
- Submit new job bids and temporary job setups in alignment with corporate procedures.
- Review and process billable bonuses, including holiday bonuses, ensuring accuracy and documentation compliance.
- Conduct periodic audits of pay rates and bill rates across all systems to ensure consistent accuracy.
- Review and approve Personnel Action Forms (PAFs).
- Analyze payroll variance reports to identify overages and upscale issues as needed.
- Make approved purchases using the company purchasing card in accordance with policy.
- Coordinate with Divisional Offices, Corporate HR and Accounting Department to support the resolution of payroll issues.
- Provide Notary Public services to the organization as required.
- Support special projects assigned by Corporate Operations or senior leadership.
- Perform other related duties as assigned to support corporate operations and enterprise systems effectiveness.
- Experience with Workday ERP
- Excellent verbal and written communication skills.
- Must be proficient in Microsoft Office (Excel, Word, Outlook).
- Be detail oriented.
- Possess strong time management skills and project management experience.
- 3+ years’ experience with payroll, billing, ATS or other systems.
- Prior HRIS experience a plus!
- Extremely professional appearance and demeanor.
- A college degree preferred but solid relevant experience with a proven history of excellence may be considered in lieu of a degree.
- This job requires sitting in front of a computer 95% of the time. Some standing lifting, bending, twisting, and walking required. Some repetitive motion required when using a computer.
