Job Description:
Liberty High School is seeking a highly organized and proactive Principal's Secretary to serve as the front-line coordinator for school operations and communications. This full-time, in-person position runs Monday through Friday, 7:00 AM to 3:00 PM, in a collaborative, technology-forward office that utilizes Google Workspace for daily operations. The ideal candidate will excel in multitasking, communication, and administrative management to support the smooth running of the school's daily functions and special events.

Key Responsibilities:
  • Oversee and manage both the Principal and multiple school calendars to ensure smooth scheduling and coordination
  • Answer and assist with all calls to the Principal and from faculty
  • Manage lease applications for school facilities
  • Manage requests for room reservations within the school
  • Update and maintain the staff and faculty lists
  • Process requests for Student Trips, Conferences and TDA's
  • Maintain all confidential personnel files with discretion and accuracy
  • Assist with graduation planning and execution, including:
    • Ordering and creating diplomas
    • Ordering awards
    • Assist with program content
    • Overseeing out-of-district seniors
    • Invitations, seating and parking for dignitaries and stage guests
    • Coordinating dignitary pre-ceremony reception
  • Assist with the planning of the Senior Academic Award ceremony
    • Guest invitations
    • Arrange catering
    • Assist with program content
  • Effectively communicate as a liaison to the staff, faculty, community members and Executive offices.
  • Manage and post content publications to the outdoor marquee
  • Administer Time Clock Plus and Frontline Absence Management systems
    • Process payroll for hourly employees
    • Set up and reconcile absences in Frontline Absence Management
  • Monitor attendance of substitute teachers; serve as liaison with Substitute Teacher Service (STS)
  • Update and maintain Smart Pass
  • Perform other duties as assigned by school administration
Qualifications:
  • Superior organizational and communication skills
  • Ability to handle confidential information with professionalism
  • Proficiency with office management systems and software (Google Suite, Time Clock Plus, Frontline, Synergy, Smart Pass, and Mitel phone systems preferred)
  • Experience in busy educational or administrative office environments is a plus
  • Ability to establish a positive rapport with staff, students and parents
  • Ability to speak Spanish preferred
New Employee Rate: $27.04 per hour
