About the RoleWe are seeking a highly organized and detail-oriented Customer Service Representative to join our team. This role is the central hub of our daily operations, responsible for managing customer communications, supporting sales and field crews, and ensuring smooth administrative workflows across the company. The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment and can juggle multiple responsibilities with professionalism and accuracy.
Key Responsibilities Phone & Front Desk Operations- Serve as the primary point of contact for incoming phone calls, handling customer inquiries, scheduling requests, and routing calls to the appropriate department
- Act as the front desk agent, greeting visitors and maintaining a welcoming office environment
- Manage leads through Mysalesman and Yelp platforms, ensuring timely follow‑up and accurate tracking
- Tag opportunities at sign‑up to ensure proper categorization and reporting
- Manage customer data and communications in Mailchimp
- Create and schedule social media posts on a weekly or bi‑weekly basis
- Monitor and respond to comments and messages across social media platforms
- Keep up with Google Reviews — monitor, track, and flag reviews for response
- Schedule and assist with company photoshoots for projects, team, and marketing materials
- Maintain up‑to‑date employee bios and headshots for the company website and marketing use
- Distribute jobs based on division (e.g., Residential vs. Commercial) and job type (New Installation vs. Repairs)
- Add jobs to the Outlook calendar and ensure all team members have the necessary scheduling information
- Manage the Residential Sales Job calendar to keep sales appointments organized and accessible
- Process incoming payments (checks, EFT, credit card) — with support from Emily on payment processing
- Invoice Time & Material (T&M) jobs accurately and in a timely manner
- Tag and organize photos via the Company Cam mobile app for project documentation
- Manage incoming and outgoing mail
- Stock sales folders with necessary forms, brochures, and marketing materials
- Post birthday announcements in Group Me and on social media
- Monitor crew analytics to support operational decision‑making and identify trends
- 1–2 years of experience in customer service, administrative support, or a related role
- Strong verbal and written communication skills
- Proficiency with Microsoft Outlook, Microsoft Office (Word, Excel), and general computer literacy
- Ability to multitask and prioritize in a fast‑paced environment
- High attention to detail and accuracy
- Experience with Mysalesman, Yelp for Business, or similar lead management platforms
- Familiarity with Mailchimp or other email marketing tools
- Experience with Company Cam or similar field documentation apps
- Background in the construction, home services, or trades industry
- Social media management experience (Facebook, Instagram, Linked In)
