Long-Term Substitute Secretary/Clerk
Freemansburg Elementary School is seeking a highly organized, proactive, and service-oriented secretary/clerk to support students, families, and staff in a fast-paced, student-centered environment. Freemansburg serves approximately 350 students and a large professional staff. The ideal candidate demonstrates reliability, discretion, strong organizational skills, and a commitment to supporting smooth school operations. As the first point of contact for families and visitors, the Secretary/Clerk plays a critical role in student registration, attendance, field trip coordination, and daily office operations.
This is an on-site position, Monday through Friday from 8:00 a.m. to 4:00 p.m., working within a collaborative, technology-forward office that relies heavily on Google Workspace and Our Student Information System (Synergy).
Responsibilities:
- Perform secretarial and clerical duties to support students, families, administrators, and staff in a dynamic elementary school setting
- Serve as the primary point of contact for inquiries related to student registration, field trips, and general student support services
- Process student registrations and withdrawals, maintaining timely and accurate communication with families
- Maintain organized, accurate, and confidential student records and files in accordance with district and state requirements
- Ensure district protocols are followed related to student attendance, payroll, school budget and purchasing processes, and other confidential tasks
- Coordinate field trips, including arranging transportation, confirming staff participation, and processing required documentation
- Provide clerical support to School Counselor, including assistance with attendance referrals and documentation
- Support scheduling needs and daily office operations as required
- Perform other duties as assigned to support the overall functioning of the school
Qualifications:
- Strong technology proficiency, including:
Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) - Experience using advanced Google Sheets formulas to manage and analyze data across multiple tabs
- Ability to manage multiple Google Calendars for administrators, staff, IEP meetings, coverage requests, and school events
- Microsoft Office Suite (Word, Excel, PowerPoint), including creating and running large mail merges
- Familiarity with Synergy, including general knowledge of student scheduling processes post-enrollment (in coordination with administration)
- Strong interpersonal and communication skills with the ability to interact professionally with students, families, staff, district personnel, and outside agencies
- Service-oriented, positive demeanor with the ability to multi-task and manage competing priorities
- Exceptional attention to detail, organization, discretion, and follow-through
Pay Rate: $28.49 per hour
