Vendor Acquisition & Operations Coordinator

Advanced Maintenance Services is a national exterior facility management company providing snow and ice management, landscaping, and parking lot maintenance for major retail, grocery, and commercial clients. Every site we manage is serviced by a network of qualified local subcontractors, which makes building and maintaining that network the heart of our business.

We’re looking for a driven, phone-ready facility professional to own securing subcontractors for open sites across multiple states. When a location needs a snow or landscape vendor, you’ll find them, call them, negotiate with them, and get them signed, compliant, and ready to service before the first snowfall. This is not a desk-and-paperwork role. It rewards persistence, speed, and follow-through.

You’ll report to our Administrative Accounting Manager and work closely with our Operations Manager and Account Manager. During onboarding you’ll work directly with our CEO.

• Source and recruit qualified snow removal and exterior maintenance subcontractors for open sites, prioritized by expected first snowfall
• Make high-volume outreach calls, emails, and texts to prospective vendors, and follow up persistently until sites are covered
• Present pricing, answer vendor questions, and move vendors to signed agreements quickly
• Manage vendor onboarding and compliance, including agreements, certificates of insurance, and W-9s
• Maintain vendor prospecting trackers and site coverage records
• Keep vendor and work-order records current in Service Channel
• Support billing by gathering service documentation, NOAA snowfall data, and vendor invoices, and assist with Quick Books entry
• Support the AMS Master Service Log and help prepare customer proposals as needed

• 2+ years of experience in facility management, multi-site service provider operations, or subcontractor and vendor management (snow, landscape, or exterior maintenance strongly preferred)
• Comfortable making 30+ outreach calls a day and following up until the job is done
• Strong negotiation and relationship-building skills with contractors and small business owners
• Highly organized, with the ability to track many sites and vendors at once without dropping details
• Experience with Service Channel, Corrigo, or similar work-order platforms is a plus
• Working knowledge of Quick Books and Google Workspace is a plus
• Self-motivated and accountable in a remote environment

This is a salaried, exempt, project-driven position, not a traditional 9-to-5 role. Your hours will follow the needs of our sites and vendors. Some weeks are steady and predictable, while others, especially when sites need vendors before the season or a storm is approaching, require extra effort to get the job done.

• Responding to vendor and customer communications outside normal business hours when sites need coverage
• Flexible scheduling around weather forecasts rather than a fixed daily routine

Outside of snow season, the schedule is generally more predictable, but priorities can still shift with vendor acquisition deadlines and customer needs. We value results and ownership over hours logged, and the right candidate will see this flexibility as part of the job, not an exception to it.

$65,000 – $70,000 annually, depending on experience
