Position: Personal Assistant for an UHNW Couple

A highly accomplished and private executive couple are seeking an experienced, discreet, and highly organized Assistant to support their personal and professional lives.

The ideal candidate will have a proven track record of providing seamless, high-level assistance to top executives and their families.

This role requires exceptional organizational skills, quick problem-solving abilities, and the ability to manage complex and constantly changing schedules with professionalism and discretion.

The ability to anticipate needs, make decisions independently, and provide responsive support—especially to the wife—is critical to succeeding in this position.

Must have good computer skills, especially Outlook and Word on a PC, and will work out of the Beverly Hills office four days a week and one day at home residence office.

Key Responsibilities:

1. Scheduling and Calendar Management
  • Maintain and coordinate complex personal and professional calendars for both the husband and wife
  • Schedule meetings, appointments, and events, ensuring no conflicts.
  • Must be super-efficient and organized.
  • Send reminders and confirmations for all scheduled engagements.
  • Keep up-to-date contact lists, including spouses' names, across all devices.
  • Maintain a system to manage RSVPs and guest lists, ensuring accuracy and follow-through.
  • Manage dinner reservations at high-profile venues in Los Angeles, Beverly Hills, Montecito, and Aspen.
  • Plan ahead to avoid scheduling conflicts between husband and wife’s calendar and ensure smooth daily operations.
2. Travel Coordination
  • Plan and organize domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Secure restaurant, hotel, and activity reservations to ensure seamless experiences.
  • Manage last-minute travel changes or cancellations with efficiency.
  • Oversee private jet travel logistics and scheduling.
  • Ensure the couple’s travel preferences and needs are met.
3. Event and Social Coordination
  • Assist with the planning and execution of social events and special occasions.
  • Coordinate venues, catering, and guest lists.
  • Ensure invitations are sent out accurately and promptly, keeping the contact list updated.
  • Track RSVPs and communicate changes or updates as needed.
4. Communication and Correspondence
  • Handle incoming and outgoing communication, including phone calls, emails, and mail.
  • Draft, proofread, and send correspondence on behalf of the husband and wife
  • Respond promptly to the wife’s requests and communications, demonstrating attentiveness and reliability.
  • Act as a professional gatekeeper, handling inquiries and managing relationships.
5. Administrative and Household Support
  • Organize and prepare documents, presentations, and reports.
  • Track expenses and manage financial reporting with the family’s accounting firm.
  • Manage household staff (a total of five people), ensuring smooth day-to-day operations.
  • Provide transportation support, including driving and managing logistics.
  • Ensure that the wife’s personal preferences and appointments are properly documented and followed through.
6. Problem-Solving and Adaptability
  • Anticipate needs and proactively solve issues before they arise.
  • Make independent decisions using sound judgment and common sense—avoid seeking approval for every small decision.

  • Be comfortable asking questions when unsure but also take initiative to solve problems.
Qualifications:
  • Must have 5+ years of direct experience as a EA/PA to UHNW family or individual in the west LA area.
  • Proven experience as a personal assistant for top executives or high-profile individuals in Los Angeles is a plus.
  • Exceptional organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • High level of proficiency with MS Office Suite, Google Calendar, and other scheduling tools. Must know Microsoft word for windows. Must know how to initiate and manage Zoom and Microsoft TEAM calls.
  • Strong computer skills, including design and formatting as well as Apple iPhone and iPad.
