The Coordinator of Business & Legal Affairs provides administrative and operational support to the COO & General Counsel directly and the Business & Legal Affairs team across the company’s film, television, and unscripted projects. This position is ideal for a detail-oriented professional interested in gaining firsthand experience in entertainment business and legal affairs within a fast-paced, collaborative environment.
Responsibilities Administrative & Operational Support- Manage and coordinate very heavy executive calendar, travel arrangements, and expense report processing.
- Serve as the point of contact for the execution of all agreements across the Company, which includes circulating documents for execution internally and to applicable third parties, logging and maintaining ratification log, filing of these documents in electronic files, and physical files, as appropriate.
- Maintain and distribute weekly reports and trackers including greenlight tracker distribution.
- Manage online subscriptions.
- Assist with onboarding and training of Legal Intern, who assists with legal projects, drafting, research, and other Business & Legal Affairs projects as needed.
- Provide general administrative and operational support to the Business & Legal Affairs team as needed.
- Assist in the preparation, review, and organization of corporate legal documents.
- Draft and process non-disclosure agreements (NDAs), engagement letters, and other routine agreements using approved templates.
- Conduct legal, corporate, and entertainment industry research and compile findings for presentations, board materials, and other business purposes.
- Provide administrative and contract support for Business & Legal Affairs matters, including production and development agreements, music licenses, legal delivery materials, notices of assignment, and related documentation.
- Take notes and distribute meeting summaries for weekly unscripted development slate meetings and other department meetings as assigned.
- Maintain document management systems and support compliance with company data retention policies.
- Coordinate corporate compliance and entity administration activities in partnership with outside vendors (e.g., CT Corporation), including maintaining entities in good standing, supporting entity information and dissolutions, tracking invoices, and maintaining corporate records.
- Draft and maintain company structural chart.
- Support production and legal document workflows and production-related administrative tasks.
- Maintain accurate records, trackers, and status reports related to legal and business affairs matters.
- Track contractual obligations for above-the-line talent, including but not limited to payment schedules, options and extensions, credits, marketing and promotional restrictions.
- Distribute weekly internal reports including option expiration updates.
- Update and submit WGA weekly worklist.
- 3–4 years of experience in business and legal affairs, entertainment, or administrative support within a media environment.
- Experience supporting contract administration, including document circulation, execution, and filing.
- Familiarity with entertainment industry agreements (e.g., NDAs, engagement letters, deal memos) preferred.
- Strong organizational skills with the ability to manage multiple priorities.
- High attention to detail and ability to handle sensitive information with discretion.
- Strong written and verbal communication skills.
- Proactive and able to follow through on tasks in a fast-paced environment.
