The opportunity provides administrative support to senior level executive(s) and/or department. The ideal candidate will possess the ability to anticipate the various needs of the office, work independently and with confidentiality and discretion. This position will be expected to interact with the Board Members directly and must possess the appropriate level of professional acumen. We are seeking someone who is detailed oriented with a "can-do" attitude that will take ownership of the various projects/task given and will efficiently and effectively communicate with their direct supervisor(s).
The ideal candidate will become an integral part of our team and should strive to become the "go-to" person for all matters related to their work. Performs all duties in accordance with the Company's policies and procedures, all U.S. state and federal laws and regulations, wherein the Company operates.
Interface effectively and professionally with all members of the department. Process expense reports. Reserve conference rooms and order food or refreshments if necessary. Coordinate and send out meeting invitations electronically. Coordinate office space for visitors. Answer phones and coordinate multiple schedules, travel, and meetings for executive(s). Create, edit and set up and maintain filing system. Process expense reports and reconcile credit card statements.
Create detailed PowerPoint presentations. Interface effectively and professionally with senior level management and Board Members. Extensive project management – Compiles and oversees quarterly Board meetings. Serve as administrator on board portal site (Diligent). Other duties as assigned (e.g. copying, office supply orders, event set-up and coordination). Follow all established policies and procedures. Perform other duties and projects as assigned.
Two to three years' experience as an Executive Assistant or Administrative Assistant. Associate's degree or higher. Strong organizational, written and verbal communication skills. Expert Microsoft Office Suite Skills. Project Management. Ability to work independently and collaboratively. Ability to interface effectively and professionally with senior level management. Strong ability to multi-task several projects ong Organizational skills. Strong attention to detail (should ideally be able to spot grammatical errors in documents).
Independent worker/team player. Flexibility to work overtime; as needed. Experience with internal document management system preferred. High technological skills/literacy needed. High School diploma or equivalent required.
