Summary of Position
The Engineering Operations Manager is responsible for day-to-day administration of the Engineering Department, while supporting and contributing to the operational success of the hotel. This individual will be responsible for managing all Capital Expenditures, assets, and inventory timely; directing and coordinating to perform routine, preventive and emergency interior and exterior maintenance and repairs to obtain optimum efficiency and standards, within budget.
This individual will also manage all projects and construction scheduling.
Roles and Responsibilities
Core functions of the position, but are not limited to the following;
- Have an understanding of Capital Expenditure request forms and Allocations for various departments
- Maintain certain inventory and supplies of engineering department used to effect operation of entire hotel; maintain records and file on all mandatory systems, such as preventive maintenance, work requests, fire life safety (engine compliance).
- Process requisition orders and distribute paperwork to accounts payable and requesting department; receive orders for exhibit services (electrical power, stage lighting, banners, etc.) for upcoming conventions and meetings, post payment and forward necessary paperwork to accounting.
- Manage daily and weekly payroll and overtime reports for entire team, including recognizing and recording appropriate time to be charged to other departments.
- Solicit pricing and bid information from vendors for storeroom items, departmental supplies and certain major projects; correspond with vendors regarding pricing and delivery of needed materials and parts and assist in setting up credit for new vendors.
- Initiate and coordinate purchasing of materials and supplies for the maintenance and construction of certain projects handled by Engineering within entire hotel; set up and maintain expense tracking logs according to department codes; tabulate weekly and submit monthly report to finance department.
- Clerical and administrative duties for projects.
- Set up purchase orders for service companies where continuous services are needed.
- Ensuring spare parts are monitored and stocks are maintained at required level.
- Ability to work within several software programs as needed for this position.
- Working with leadership of the department for tracking and billing of all needed repair requests.
- Managing parts inventory for the appliances serviced by the engineering department.
- Ensure uniform and personal appearance are clean and professional and maintain confidentiality of proprietary information.
- Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other colleagues.
- Ensure adherence to quality expectations and standards; and identify, recommend, develop, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings.
- Grasp, turn, and manipulate objects of varying size and weight. Stand, sit, or walk for an extended period of time.
- Attend morning meeting and weekly Manager meeting to provide project and construction schedule updates.
- Responding to guest requests as a priority
- Ensuring guest requests are followed up and updated.
- Monitoring service standards in all areas of the operation in keeping with the highest guest expectations.
- Owning all guest complaints in the absence of all the Director, if guest wishes to speak to the Manager on Duty
- Focus on prevention of issues and maintain a high level of attention to detail to anticipate guest needs and potential issues, resolving them before they occur.
- Directing, implementing, and maintaining a service and management philosophy which serves as a guide to respective colleagues.
- Maximizing the financial performance of the hotel by providing the highest possible guest service and product
Qualifications
- Minimum of 3 years supervisory or manager experience in hotel and or Maintenance/Engineering department.
- Good leadership and communication skills
- Must have prior experience in Microsoft Office
- Birchstreet experience is a plus but not a requirement
- Prior experience in a mixed hotel and residential setting is a plus
- Must be able to speak, read, write and understand the primary language(s) used in the workplace.
