Location: Landmark School

Reports to: Director of Student Progress and Performance

Position Type: Full-Time, 12 Months

Position Overview

Landmark School seeks a highly organized and proactive Executive Assistant to support the Student Progress & Performance Department. This individual will provide administrative, logistical, and operational support to the Director of Student Progress & Performance and department staff, ensuring the smooth functioning of key processes such as academic documentation, assessment coordination, compliance reporting, and communication.

As the central hub of the department, the Executive Assistant will handle scheduling, data management, and correspondence, ensuring that critical deadlines are met and stakeholders receive timely, accurate information. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast‑paced school environment.

The Executive Assistant will report directly to the Director of Student Progress & Performance and work closely with Associate Directors and Coordinators to support the department’s mission.

Key Responsibilities Administrative & Operational Support
  • Organize and maintain department files, records, and databases, ensuring compliance with privacy and confidentiality policies.
  • Manage calendars (Google) and schedule meetings with faculty, families, and external partners.
  • Provide logistical support for department meetings, including preparing agendas, taking minutes, and following up on action items.
  • Support the development and distribution of student progress reports, assessment summaries, and compliance documentation.
IEP & Compliance Coordination
  • Assist in tracking IEP documentation deadlines and ensuring timely submissions.
  • Maintain an organized system for academic paperwork, student assessment data, and compliance reports.
  • Support communication with public funding agencies, district representatives, and other constituents as needed.
Data & Reporting Support
  • Assist in the collection, organization, and distribution of assessment data, ensuring accuracy in reporting.
  • Coordinate with Associate Directors to ensure assessment logistics run smoothly.
Event & Meeting Coordination
  • Support the planning and execution of student meetings, training sessions, and department professional development events.
  • Arrange travel, accommodations, and materials for off‑site meetings, conferences, and training sessions.
  • Manage department supply inventory, ensuring materials for assessments, trainings, and meetings are readily available.
Key Qualifications Experience & Expertise
  • Bachelor’s degree in Business Administration, Education, or a related field preferred.
  • 3+ years of experience in an administrative or executive support role, preferably in an educational or nonprofit setting.
  • Familiarity with special education processes, IEP documentation, and student assessment procedures strongly preferred.
  • Proficiency in Google Suite, spreadsheets, data merging, and database management systems.
