Job Summary

Mass General Brigham Sports Medicine is seeking a Medical Administrative Assistant to support smooth and efficient clinical practice operations at our Beverly location. Our nationally recognized sports medicine specialists provide advanced care for the full spectrum of sports-related injuries and orthopedic conditions, serving athletes and non-athletes of all ages through innovative, research-based treatment and rehabilitation services.

Role Summary

Under general supervision, the Medical Administrative Assistant performs a combination of administrative and clerical duties to support patient visits, scheduling, registration, check-in and check-out, documentation, and day-to-day office operations. This position does not require direct patient care, but plays an important role in creating a welcoming, organized, and efficient experience for patients, providers, and care teams.

Key Responsibilities
  • Perform routine administrative and clerical duties for a clinical service or physician practice office.
  • Greet and assist patients while supporting appointment scheduling, check-in, and check-out processes.
  • Make, update, and maintain patient appointments and appointment records.
  • Answer telephones, assist callers with routine inquiries, take accurate messages, and route questions appropriately.
  • Support patient documentation by filing materials, printing appointment schedules, scanning documents, and processing information into patient medical records.
  • Process patient billing forms and may accept co-payments when required.
  • Request patient medical records and laboratory test results as needed.
  • Open and distribute unit mail, faxes, and other office communications.
  • Prepare forms, records, schedules, memos, and other materials as directed.
  • Handle, screen, and route messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Serve as a scheduling, registration, and billing system resource or "Super User," providing assistance and training to others as appropriate.
  • May perform more complex or specialized administrative functions, such as surgical scheduling or schedule changes and blocking, at an advanced competency level.

Qualifications

Knowledge, Skills, and Abilities
  • Proficiency with Microsoft Office Suite and general office systems.
  • Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use phone systems, manage non-routine calls, and resolve routine issues appropriately.
  • Strong written and verbal communication skills, including the ability to compose and edit emails, memos, and letters.
  • Ability to understand written work‑related documents and take complete, accurate messages.
  • Strong organization, time management, and multitasking skills.
  • Ability to follow established protocols and work effectively within clinical office systems.

Schedule and Location

This is a full‑time, benefits‑eligible position based at 100 Cummings Center in Beverly, MA. The schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m.

Qualifications
  • High school diploma or equivalent required.
  • Two to three years of office experience required.
  • Certified Medical Administrative Assistant (CMAA) credential preferred.
