Overview
The Payroll Tax Specialist is responsible for state tax registrations, obtaining TPA and PTP authorization, and tax reporting regulatory requirements. This position assists in ensuring payroll tax accounts are compliant and minimizes penalty assessments. The role also works with agencies, clients, and the team to resolve agency notices.
Responsibilities- Register clients with state and local tax agencies.
- Work with agencies and clients to establish TPA and PTP authorization.
- Create and maintain process documents for registration and TPA, PTP authorization.
- Communicate payroll tax issues orally and in written form with the team and clients as required.
- File tax returns as assigned.
- Coordinate printing of payroll tax returns, checks, and notice resolution documents.
- Fax, copy, and/or mail documents.
- Address Tax team emails and cases, managing internal and external cases to meet or exceed service level agreements.
- Research and resolve tax notices, correspondence, or communications from clients or governmental agencies.
- Participate in the monthly, quarterly, and yearly processing of tax returns, reconciling tax amounts and filing returns through various methods.
- Continuously review filing and payment methods each quarter to improve efficiency.
- Cross‑reference information in payroll, tax, and CRM systems to ensure accuracy.
- Review data at quarter and year‑end for accuracy and document as required for organizational needs.
- Provide office coverage and distribution support as assigned.
- Assist during seasonal volume increases and team absences.
- Work with a supervisor for continued development and training.
- Perform other duties as assigned.
- Prior experience in an accounting, tax, or payroll environment.
- Experience with Master Tax or isolved.
- Bachelor's degree preferred.
- Strong interpersonal, verbal, and written communication skills.
- Customer‑service orientation.
- Consistent, high‑quality data entry and ability to meet deadlines.
- Highly organized and exceptionally detail‑oriented.
- Ability to work independently as well as in a team.
- Adaptability to a fast‑paced, evolving business environment while managing multiple priorities.
- Time‑management and prioritization skills.
- Maintaining confidentiality.
- Ability to complete tasks with minimal supervision.
- Basic understanding of Microsoft Office Suite.
- Preferred experience with web‑based payroll, tax, and CRM software.
Base pay range: $50,000 to $60,000 per year. Variable compensation, commission, and/or bonus may be available based on performance.
