We are seeking a friendly, organized, and detail-oriented Administrative Assistant to support our Physical and Occupational Therapy department. This part-time position plays an important role in ensuring patients receive timely therapy appointments and a seamless experience from referral through scheduling.
The ideal candidate is an excellent communicator who enjoys working in a fast-paced healthcare environment. They are proactive, dependable, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism.
- Manage incoming referrals for Physical and Occupational Therapy services.
- Contact patients promptly to schedule therapy evaluations and follow-up appointments.
- Coordinate scheduling with physicians, therapists, and office staff to ensure timely patient care.
- Assist with obtaining, tracking, and following up on insurance authorizations for therapy services as needed.
- Maintain accurate patient records and documentation within the electronic medical record (EMR).
- Communicate professionally and courteously with patients, providers, insurance companies, and referring offices.
- Monitor referral work queues to ensure timely scheduling and follow-up.
- Answer incoming phone calls and respond to patient inquiries with excellent customer service.
- Maintain HIPAA compliance and patient confidentiality at all times.
- Assist with other administrative and clerical duties as assigned to support department operations.

- Strong attention to detail and organizational abilities.
- Ability to prioritize tasks and work independently with minimal supervision.
- Professional telephone etiquette.
- Comfortable working in a fast-paced, team-oriented medical office.
- Proficiency with computers and Microsoft Office applications; experience with electronic medical records (EMR) preferred.
- Previous medical office, scheduling, referral, or insurance authorization experience preferred.
- Knowledge of orthopedic or physical therapy services is a plus.
Part-time (approximately 18–24 hours per week). The anticipated schedule is three days per week, generally 8:00 AM–2:00 PM, with flexibility for additional hours based on the candidate's availability and practice needs.
Compensation & Benefits- $20.00–$22.00 per hour, based on experience.
