Associate Director of Student Employment

The Associate Director of Student Employment provides leadership, coordination, and daily operational management of the University's student employment programs, including Federal Work Study (FWS) and Institutional Work. This position ensures compliance with federal and state regulations, supports campus departments in hiring and supervising student workers, coordinates student employment processes that support accurate and timely payroll processing, and advances student employment as a meaningful component of engagement, retention, and student success.

The Associate Director serves as the primary resource for students, supervisors, and campus partners regarding student employment policies, procedures, and best practices. The role supervises the Assistant Director of Student Employment and student employees assigned to Student Financial Services, as applicable, contributes to policy development, and works collaboratively across the University including Payroll, Human Resources, and the Office of Career Readiness to strengthen and expand the student employment experience.

Responsibilities Oversee the University's student employment programs, including Federal Work Study and institutional employment. Ensure student employment policies and processes comply with federal, state, institutional, payroll, documentation, and student eligibility requirements. Monitor and reconcile Federal Work Study and institutional employment expenditures, student earnings, award limits, available funding, and projected utilization; identify potential over-awards or funding issues and recommend corrective action. Monitor student employment budgets and utilization, including Federal Work Study and institutional employment, and provide regular reporting and projections to Student Financial Services leadership.

Coordinate student employment hiring workflows, including position posting, student eligibility verification, onboarding, employment documentation, and supervisor approvals. Partner with Payroll, Human Resources, Student Financial Services, Career Readiness, and campus departments to support payroll processing, timesheet review, hiring workflows, and issue resolution. Serve as the primary resource for students, supervisors, and campus partners on student employment policies, procedures, eligibility, time reporting, and best practices.

Develop and maintain student employment policies, procedures, training materials, supervisor resources, student guides, forms, web content, and required files. Train and support supervisors and student employees on hiring procedures, payroll expectations, workplace standards, compliance, and student employee management. Support student employment outreach and engagement, including job postings, priority hiring processes, and employer/student events as appropriate. Analyze program data, identify process and technology improvements, and recommend strategies to strengthen compliance, efficiency, student experience, and program effectiveness.
