Summary of Position:
The Secretary Level 2 will provide administrative support to the Social and Behavioral Sciences Department within the College of Arts, Sciences and Education. This position delivers key clerical functions to support academic operations independently and within established departmental and college policies.

Schedule:

On-site | Monday – Friday, 8:00 a.m. – 5:00 p.m. The anticipated start date for this position is early October 2026; however this is an estimated date and can be revised if needed.

Satisfactory completion of two years college or equivalent such as military technical training or business/technical schooling. Additional Education/Experiences to be Considered:
Preferred work experience to include bookkeeping, supervisory responsibility, public contact, and customer service. Experience with Microsoft Office software applications: WORD, EXCEL, TEAMS Experience with/in Banner, Concur (travel/expense systems) Working experience in higher education and/or K-12 systems.

Essential Duties/Responsibilities:
Perform any/all duties as defined in the Secretary, Level 1 position description. Independently answer routine correspondence. Draft non-routine correspondence for review and approval of supervisor. Research information as background for incoming and outgoing communications. Prepare and maintain information for such documents as correspondence, memos, reports, etc. using computer software such as word processing, spreadsheet, database and file management. Input, retrieve, download and output information utilizing a computer to access various software programs and systems.

Answer or refer inquiries from students, faculty, staff, and the general public regarding established policies and procedures. Assist students with registration, drops and adds. Coordinate activities with other departments. Perform bookkeeping/recordkeeping/calculations for such things as employee assignments, faculty load report, departmental budget expenditures, encumbrances, balances and reconciliations, and deposits. Establish and maintain filing and recordkeeping systems. Interview, train and direct student employees.

Train and direct lower level non-bargaining unit clerical employees. Train clerical bargaining unit members in the characteristic duties. Coordinate special departmental functions such as recruitment activities, graduation, meetings, conferences, workshops, seminars, athletic and fundraising events, by scheduling facilities, preparing agendas, and arranging for services and equipment. Perform duties related to auditing student scholastic records, checking graduation applications, determining honor status.

Verify scheduling of course offerings, classrooms, and laboratories. Plan expenses and monitor travel budget for staff, and faculty. Carries out responsibilities in accordance with university policies and applicable laws. Cultivates an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty, and staff to thrive authentically. Support, promote, and develop university student enrollment and retention initiatives.
