The Sales Administrator – Order Entry is responsible for accurately entering, reviewing, and maintaining sales orders and related administrative tasks. This role is primarily focused on order entry and sales administration, ensuring all orders are complete, accurate, and ready for execution. In addition, this position provides general sales support, including routine administrative tasks such as monitoring bid sites and assisting the sales team with opportunity tracking.

Sales Manager
- Accurately enter sales orders into internal systems (Service Core).
- Review orders for completeness, accuracy, pricing, customer details, and required documentation before submission.
- Maintain and update customer and order records, ensuring information is current and properly documented.
- Act as the administrative point of contact for order-related questions from Sales and Operations.
- Correct order errors and coordinate revisions with Sales and Operations as needed.
- Track order status and assist with follow-up requests, changes, and confirmations.
- File, organize, and maintain order documentation, contracts, and supporting materials.
- Monitor construction bid sites, municipal bid platforms, and similar opportunity sources on a regular schedule.
- Log, route, or notify the appropriate sales personnel of relevant bid opportunities.
- Perform routine CRM data maintenance related to customers, contacts, and orders (basic updates and corrections).
- Support sales team administrative needs such as reporting, document preparation, and coordination.
- Assist with other general sales administration tasks as assigned.
Skills & Qualifications
- Preferred experience in order entry, sales administration, or administrative support.
- High attention to detail and strong data accuracy skills.
- Comfortable working with CRM and order entry systems (Salesforce, Service Core or similar preferred).
- Strong organizational and time-management skills.
- Ability to handle repetitive, detail-heavy tasks consistently and efficiently.
- Clear written and verbal communication skills.
- Ability to follow established processes and instructions.
- Experience supporting a sales or operations team in a B2B environment.
- Familiarity with bid platforms, construction bids, or municipal opportunity sites is a plus.
- Experience with Microsoft Office, Salesforce, or Service Core is a plus.
This role is primarily focused on order entry and sales administration. Additional administrative tasks, including routine monitoring of bid sites and sales support activities are a standard and expected part of the position.
Additional Expectations- Perform other duties as assigned based on company needs. This may include additional sales administration, order-entry–related tasks, or other reasonable administrative responsibilities that support the sales organization.
