Role SummaryWe are seeking a highly motivated and experienced Administrator for our Diagnostics portfolio. In this role, the Administrator will provide advanced administrative support to the SVP & GM Diagnostics as well as overall support to the Diagnostics organization. Reporting to the Executive Assistant to the CEO, this role requires a professional who thrives in a fast‑paced environment and can manage multiple priorities with discretion, efficiency, and attention to detail.
The ideal candidate will demonstrate excellent communication and decision‑making skills, a high level of confidentiality, and the ability to interact effectively internally and externally. This role is onsite in Billerica, MA five days a week.
- Manage complex calendars, scheduling meetings across multiple time zones while coordinating with internal and external stakeholders.
- Coordinate domestic and international travel arrangements, including logistics for customer visits, conferences, leadership meetings, and site visits.
- Contact customers, clinicians, key opinion leaders, and other external partners to schedule meetings to support business revenue objectives and relationship management.
- Support external communications with customers and partners, including email correspondence, meeting coordination, and distribution of product-related information.
- Prepare agendas, coordinate logistics, capture meeting minutes, and track follow‑up actions to ensure productive and effective team meetings.
- Prepare, submit, and reconcile expense reports accurately and in a timely manner.
- Anticipate business needs, proactively identify potential issues, and implement solutions to support the Diagnostics leadership team.
- Handle highly confidential and sensitive information with professionalism, discretion, and sound judgment.
- Identify and implement opportunities to streamline administrative processes, improve efficiency, and enhance operational effectiveness across the Diagnostics organization.
- Provide backup support and collaborate closely with other members of the administrative team to ensure seamless coverage and support.
- Assist with special projects and perform additional administrative responsibilities as assigned.
- 5+ years of experience providing executive‑level support, with demonstrated experience supporting senior executives.
- 3+ years of administrative experience in a sales/service environment.
- Bachelor’s degree or equivalent experience preferred.
- Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills with the ability to clearly and effectively communicate across a wide range of stakeholders both internally and externally.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Experience with travel coordination and expense management systems (e.g., Concur).
- High level of professionalism, discretion, and confidentiality.
- Skilled in managing and prioritizing multiple requests simultaneously while maintaining a focus on quality and urgency.
- Take initiative and work well under pressure, maintain a high level of confidentiality.
- Polished and articulate with strong interpersonal skills.
- Impeccable attention to detail, ensuring flawless execution in scheduling, documentation, and travel arrangements.
- Thrive in a fast‑paced, often ambiguous environment, and handle changes with a positive, proactive attitude.
- Take ownership of tasks and projects with minimal supervision, anticipating needs and creating solutions that support the goals of the Office.
- Experience in Life Science industry a plus.
- Advanced MS skills.
- Ability to be on call during off hours.
