What you’ll do:The Outside Lease Coordinator is responsible for managing the physical flow, location accuracy, and readiness of vehicles throughout the operation. This role ensures vehicles are properly staged, located, and prepared at each step of the workflow to support inspections, recon, imaging, transportation and sales execution.
Responsibilities:Vehicle Flow & Staging
- Locate, move, and stage vehicles according to workflow needs
- Ensure vehicles are positioned correctly for inspection, recon, imaging, transportation, and sale
- Maintain orderly lot organization and efficient flow paths
- Prevent "unable to locate" situations through proactive lot checks
- Perform daily lot checks to confirm vehicle location accuracy
- Identify physical discrepancies or missing units
- Escalate issues promptly to leadership
- Verify vehicles are physically sale-ready
- Communicate vehicle status and physical blockers to the Inside Coordinator
- Support Transportation Coordinator with vehicle movement needs
- Work closely with Fleet Manager to resolve delays or constraints
- Coordinate with inspection, recon, and imaging teams as needed
- Stage vehicles accurately and on time for sale lanes
- Confirm lane readiness prior to sale execution
- Support last-minute movement needs to prevent sale delays
- Conduct lot walks and location verification
- Stage vehicles according to daily workflow priorities
- Escalate missing, delayed, or incorrectly staged vehicles
- Review recurring staging or location issues
- Support process improvement efforts
- Assist with workflow audits and bottleneck identification
- Participate in lot organization resets
- Support SOP adherence and process reviews
Other duties as needed
Key Performance Indicators (KPI's)- Lot location accuracy
- On-time staging percentage
- Zero "unable to locate" incidents
- Sale lane readiness compliance
Qualifications:
- Education:
High School Diploma, some college preferred. - Experience:
Auction, logistics, or yard operations experience preferred - Strong organizational and time-management skills
- Ability to work independently in a fast-paced environment
- Clear and professional communication skills
- Comfortable working outdoors around vehicle traffic
- Skills:
Should be highly organized, self-motivated and self-disciplined. Highly customer service orientated. Computer proficient. Must be able to read, write and speak English fluently
- Must be at least 21 years of age.
- Must possess a valid driver’s license.
- Must be able to pass a pre-employment drug test according to company guidelines.
- Must be able to pass a pre-employment background check per company guidelines.
- Environment:
The environment of the Outside Lease Coordinator involves working at the Auction and representing the company upholding the highest standards of customer service with customers and employees alike. Those working in this position are subject to temperature changes, all types of weather conditions, elevated noise levels and at times fumes and odors associated with vehicle exhaust ention to safety and situational awareness is required at all times as this position will be working around vehicles at all times.
Requires frequent walking, standing and coordination with moving vehicles.
