The Office Administrative Assistant is responsible for cooperating with the strategic plan of the organization and to prepare and process reports, prepare and oversee the timely delivery of electronic reports to clients, handle client inquiries and transfer calls to the appropriate person, invoice review, greet clients at the front door and accept samples. This position requires a proactive approach in ensuring all tasks are completed accurately and efficiently, contributing to smooth laboratory operations, and client satisfaction.
Essential Functions:
Direct calls to the appropriate departments.
Scanning documents into appropriate folders.
Emailing client reports.
Greeting walk-in clients.
Performing general office tasks as required.
Education and Experience:
High school degree or equivalent.
Proficient with Microsoft Office software (MS Office Suite) and basic office equipment.
Required Knowledge and
Skills:
Strong attention to detail with excellent organizational skills.
Ability to work independently with minimal supervision while meeting deadlines.
Ability to handle multiple tasks simultaneously in a fast-paced environment.
Excellent written and verbal communication skills, with a customer-focused attitude.
Strong time management skills with a proven ability to prioritize tasks.
Motivated, dependable, and able to contribute positively to a team environment.
Quick learner with a problem-solving mindset.
Previous office or administrative experience is a plus.
Physical and Mental Requirements:
Regularly required to sit, stand, walk, reach with hands and arms, lift 50 lb coolers, and verbally communicate in a clear and professional manner.
Requires visual acuity, including close vision, color vision, depth perception, and the ability to adjust and focus for detailed computer work.
Occasionally required to lift, carry, move, or position materials and equipment weight up to fifty (50) pounds.
Working Environment:
This role requires work in both a laboratory and office setting. You will encounter samples which may contain blood, bodily fluids, chemicals, fumes, gases, and unpleasant odors.
